Position Summary

Columbia University Libraries seeks applicants for the position of Supervisor, Shipping & Receiving. Reporting to the Head, Delivery Services, this position manages the operation of the Shipping and Receiving unit. Shipping and Receiving is housed in Butler Library, Columbia’s largest library, and services the entire Columbia University Libraries system.


Responsibilities

  • The Supervisor of Shipping and Receiving will hire and supervise 3 Technical Assistants. Train staff, and for the overall workflow, performance, and production of the department, including meeting guaranteed delivery schedules.
  • Partner with managers and supervisors of high-volume mail/delivery services (ReCAP, Circulation, Interlibrary Loan, Borrow Direct, etc.) to ensure efficient shipping and receiving of materials, and communicate regularly with library staff regarding mailroom deliveries and pick-ups.
  • Determine method of shipping, utilizing knowledge of shipping procedures, routes, and rates.
    • Liaise with USPS mail carriers and couriers (UPS, FedEx, DHL, Metro Delivery Service, etc.) for changes and additions to mail and material deliveries/pick-ups.
    • Prepare books and other library materials for shipment using the postal scales and meter, UPS WorldShip, and following local courier guidelines.
  • Maintain records of incoming and outgoing shipments using Microsoft Office software (Word, Excel, Access) and UPS WorldShip, and use software to run appropriate statistical and performance reports.
    • Liaise with library staff and the appropriate mail carrier or courier to trace missing or lost shipments.
    • Communicate with Library Information Technology staff for UPS WorldShip software updates and other departmental computing needs.
  • Maintain security at the 114th Street door, including vetting individuals for authorized access (mail, other deliveries, material pick-up) and re-routing all others to the Butler Library main entrance.
    • Coordinate access through the Library’s alarmed doors for large-scale deliveries and shipments.
  • Set priorities and benchmarks for daily transportation, pick-up, and delivery of materials (via the Libraries van and/or delivery via hand truck, dolly, or other means) between CU Libraries according to a guaranteed delivery schedule, including materials from the offsite storage facility, newly cataloged acquisitions, and materials returned from circulation and other delivery services.
    • Ensure proper maintenance of the Library's van (oil changes, inspection, etc.) and liaise with University Parking regarding overnight parking in the garage.
  • Maintain inventory of shipping materials and supplies, ensure that all shipping tools (hand trucks, carts, etc.) are in working order, and monitor the postage meter account to ensure an adequate dollar amount in the library's account.
    • Maintain the centralized supply area, responsible for filling and tracking departmental requests for a limited selection of supplies (copier paper, toner cartridges, rain bags, unbleached tying tape, etc.).
    • Reorder materials via CUIT or Financial Services, as appropriate.
  • Other duties, as required, or necessitated by staff absence.

Minimum Qualifications

  • Bachelor’s degree and 2-4 years of related experience and/or equivalent in education and experience required.
  • Valid (current) driver’s license with no restrictions.
  • Previous experience working in a shipping & receiving/mailroom operation.
  • Minimum 1-2 years supervisory experience (supervision of unionized staff preferred).
  • Excellent communication skills and attention to detail.
  • Knowledge and competencies using Microsoft Office software (Word and Excel).
  • Ability to lift heavy weights.
  • Must be able to use a postage meter, postal scales, dollies, hand trucks, and other material handling trucks.

Preferred Qualifications

  • Previous experience driving a commercial vehicle.
  • Knowledge and competency using Microsoft Access software.
