The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Center for Justice (CfJ) Co-Director, the Administrative Assistant works as a team member dedicated to supporting the work of the Center for Justice. The Administrative Assistant will serve as a vital link between the Center for Justice's leadership, community members, Columbia University students, faculty, and administration. This role involves a combination of administrative duties, event coordination, and direct communication with various stakeholders to support the Center's mission and operations.

THIS IS A FULLY GRANT-FUNDED POSITION. CONTINUED EMPLOYMENT IS CONTINGENT UPON CONTINUED SUFFICIENT FUNDING.


Responsibilities

  • Act as the primary point of contact between the Director, Co-Director, and external/ internal stakeholders. Respond promptly and professionally to emails and inquiries.
  • Manage the Directors' calendars and appointments.
  • Handle routine office tasks such as filing, copying, and maintaining office supplies.
  • Support the preparation of reports, presentations, and other documents as needed.
  • Receive and prioritize work given by the CfJ’s Co-Director. Provides information and updates regarding the status of work and projects as needed.
  • Track grant reports and proposals. Notify Co-Director when reports are due. Work with the appropriate CSSW departments to prepare financial reports. Enter new grants in RASCAL
  • Maintain clear and effective communication with the CfJ team. Create weekly agendas for staff meetings.
  • Coordinate and schedule Co-Director’s meetings, conferences, and community engagements.
  • Arrange travel and hotel accommodations for Co-Director’s travel.
  • Complete and process travel and expense reports on behalf of Co-Director.
  • Work closely with the operations team to process payments and manage financial transactions.
  • Follow up with the Office of Sponsored Projects to ensure payments have been processed. Reviews discrepancies in billing.
  • Serve as a representative of the CfJ at events with community partners, sometimes on evenings and weekends.
  • Assist in the planning and execution of the annual Beyond the Bars conference, ensuring all logistical aspects are covered.

Minimum Qualifications

  • A high school diploma or equivalent is required, plus two years of related experience required.


Preferred Qualifications

  • College degree preferred.
  • Knowledge of policy, practice, and culture relating to ending the incarceration and criminalization of marginalized communities and especially women and girls.

Other Requirements

  • Must have demonstrated strong organizational, written, and oral communication skills.
  • Ability to work as part of a team and work independently as necessary.
  • Strong interpersonal skills with the ability to engage effectively with a diverse range of stakeholders. Experience with budgeting and basic accounting.
  • Highly skilled in Microsoft Office and Adobe Acrobat.
