Position Summary
The Assistant Manager, Undergraduate Housing, is responsible for overseeing resource and service delivery to over 6200 students across an assigned portfolio within the 40 buildings. The position ensures service quality, accountability, and resident experience with oversight during all seasons of Housing Operations, including academic year and summer operations.
This role emphasizes and features elements of Operations, Analytics, Customer Service, and Resource Management. Assistant Managers are expected to be visible in the field, conducting inspections and engaging residents, while also delivering formal analytics and reporting on service performance and resident sentiment as it relates to services in the portfolio.
Reporting to the Associate Director of Service Operations, the Assistant Manager, Undergraduate Housing is a full-time position responsible for owning the execution of assigned projects and operational tasks while working under the direction of designated functional leads across Undergraduate Housing. This role supports Housing operations during both the academic year and summer season and spans Guest Services, Operations & Systems, Assignments, and Summer Groups. The position works as a peer and collaborator alongside all professional staff to ensure consistent coverage, service continuity, and operational excellence, while receiving functional guidance appropriate to each area of work. Housing works closely with Residential Life, Facilities, Public Safety, and other campus partners to provide coordinated, student-centered services.
Responsibilities
Resident Services:
- Serves as a primary point of contact for escalations of resident related issues including but not limited to contractor coordination, fire alarm follow-ups, lockouts, wellness checks coordination, and conference support
- Takes ownership of assigned tasks and projects while working under functional direction
- Coordinates operational details with the appropriate internal teams related to arrivals, departures, key dates, and emergency contact protocols
- Assists with partner communication by working with campus departments and vendors to help resolve custodial, mechanical, and service-related concerns
- Supports Year-Round Housing operations by assisting with in-person check-ins, check-outs, guest communications, and booking processes using StarRez
- Supports Major Housing Events: Assist in the preparation and execution of move-in/move-out, special events, and emergencies
- Health & Safety Coordination: Conduct inspections and ensure compliance documentation is complete
- Student Staff Support & Training: Coordinate coverage and mentor student staff
- General Office Oversight: Ensure supplies and office equipment are organized and maintained
- Student Engagement: Coordinate with ResLife to host Fall and Spring tabling sessions in buildings
Resident Services:
- Serves as the operational lead for an assigned portfolio
- Conducts monthly operational audits and service checks to assess custodial, maintenance, and equipment performance, documenting findings and supporting corrective actions
- Performs inspections, issues, and follow-ups, recommending Facilities or Service projects based on work order data and resident feedback
- Coordinate with Facilities, Public Safety, and Residential Life to address service gaps and building concerns
- Supports daily task execution by coordinating with professional staff and Operations Assistants, providing on-shift guidance and mentorship as directed
- Performs and coordinates Room Checks and Vacancy Verifications across residential and conference spaces
- Supports renovation and repairs tracking by monitoring progress, documenting concerns, and escalating issues that may impact timelines or service quality
- Assists with vendor coordination, including linen distribution, equipment servicing, and related operational logistics
- Monitors shared housing equipment and spaces, submitting service requests, tracking issues, and supporting communication across Housing teams to maintain service continuity
Analytics & Reporting:
- Prepares and submits a Monthly Operating Metrics (MoM) Report for the assigned portfolio
- Delivers Quarterly Dashboards comparing portfolio performance, identifying trends and providing recommendations
- Tracks and analyzes staff resource allocation to inform quarterly workforce reviews and future staffing plans
- Documents inspections, issues, and follow-ups for leadership tracking
Housing & Summer Group Services:
- Supports academic year and summer operations by assisting with administrative and logistical processes related to room assignments, transitions, emergency placements, and occupancy management
- Assists with preparation and organization of housing materials for incoming residents, including IDs, arrival packets, access materials, and related documentation
- Supports departmental process documentation efforts by assisting with updates, reviews, and organization of operational procedures and intranet materials
- Participates in special projects and seasonal initiatives related to assignments, summer operations, and departmental process improvement efforts
Minimum Qualifications
- Bachelor's degree
- 0-2 year cumulative related experience
- Hospitality or Higher Ed Facilities, Housing Operations, or similar
- Ability to manage multiple sites and priorities, meet deadlines, and work independently with guidance
- Proficiency with MS Office 365 and experience with modern business applications and AI tools; Asana, Slack, Co-Pilot
- Strong communication, organizational, and interpersonal skills
- Commitment to working in diverse, multicultural environments
- Ability to respond to operational needs in varying climate conditions
- Respond to emergency situations across portfolio with coverage when required across 24/7 operational schedule. Emergency, non-emergency responses, general coverage for vacation, and OOO coverage
- Ability to perform moderate physical activity such as lifting, bending, pulling, and managing stairs
