The Administration & Operations team provides operational, financial, human resources, event management, and communications support to University Life staff, students, and institutional partners. Through strong relationships, collaborative problem-solving, and informed policy guidance, the team strengthens the division’s capacity to serve the University community effectively. The team also fosters a shared sense of purpose by coordinating team-building experiences and professional development opportunities. Administration & Operations serves as a central support for the Division, allowing University Life teams to focus on their core missions, initiatives and programs.

Position Overview

Reporting to the Assistant Director of Facilities, IT & Operations (AD), the IT Coordinator works closely with the AD, to provide general IT support, including tech management, basic A/V support, troubleshooting and training to the Division.


Responsibilities

Technical Support

  • Provide first-level support for hardware, software, and peripheral issues across Windows and macOS devices (onboarding, offboarding and routine ongoing support).

  • Provides basic A/V support (including maintenance and storage) for meetings and events as determined by UL Operations leadership.

  • Support user account access, email configuration, password resets, and connectivity for desktops, laptops, printers, and mobile devices.

  • Respond to ServiceNow inquiries or concerns with accuracy and completeness.

  • Escalate complex or unresolved issues to senior staff following defined procedures.

Process & Systems Support

  • Work with CUIT to support technology deployments, hardware imaging, and device installations, including submitting tickets to CUIT on behalf of UL staff.

  • Help maintain shared devices and technology in all meeting/event spaces, conference rooms, and classrooms. Ensure devices, software, hardware are updated and readily available for use.

  • Participate in system maintenance activities, software rollouts, and management of drives and folders.

  • Assist with inventory tracking and keeping an accurate log of loaner devices, device warranty and storage. 

  • Support the AD with reviewing and tracking IT-related expenses in Pinnacle (University’s IT system) and relevant UL Finance budget sheets on a monthly basis.

Customer Service

  • Deliver support in person, by phone, and via remote tools with a focus on professionalism, patience, and clarity.

  • Submit and track ServiceNow tickets to CUIT as determined by the AD. 

  • Set expectations for issue resolution timelines and follow up to confirm issue closure.

  • In conjunction with AD, provide necessary IT training. 

  • Promote a positive customer service experience, even during high-volume periods.

  • Support team goals and service level agreements in coordination with other IT groups.

  • Assist more experienced staff with project-based work or documentation tasks.

  • Participate in team meetings and contribute to a culture of accountability and learning.

Other

  • Assists the AD and Executive Director with special projects. 

  • Serves as backup to the Facilities Coordinator. 

  • Perform other related duties and responsibilities as assigned.


Minimum Qualifications

  • Bachelor’s degree and/or its equivalent.

  • Minimum of 0-2 years of related experience.

  • Strong communication, interpersonal and organizational skills.

  • Computer literacy including MS Office, and Google Suite.

  • Must be able to manage multiple competing priorities and projects.

  • Ability to be steady and sensitive in highly emotional situations.

  • Must consistently exercise confidentiality, discretion and excellent judgment.

  • Must be able to work flexible hours. Evening, weekend, holiday and on-call hours may be required. While we aim to have a set schedule as often as possible, the nature of this position may require variable hours day-to-day or week-to-week.

  • Student candidates must be and remain in good academic and disciplinary standing with the University. Students are limited to a total of 20 hours per week. 
  • Variable Hours Officers are only permitted to hold one position at a time at the University.
