Position Summary

The Program Support role provides administrative, communications, and research assistance across a range of programmatic initiatives. The incumbent will support event coordination, database management, communications outreach, research activities, and special projects as needed.


Responsibilities

Program & Administrative Support

  • Coordinate and support program-related events.
  • Assist the Administrative Coordinator with reimbursements and related documentation.
  • Provide general program support and complete other duties as assigned.

Communications & Audience Management

  • Update and maintain contact lists.
  • Manage Mailchimp audiences, including:
    • Importing new contacts using shared document templates.
    • Updating and maintaining all audience segments.
    • Removing outdated groups.
    • Creating new, relevant segments based on audience interests, such as:
      • Engineering School, Climate School, and other academic audiences (with a focus on podcast listenership).
      • Groups related to grant applications (e.g., Doctoral Mobility, Joint Projects).

Alumni Engagement

  • Build and maintain an alumni database.
  • Conduct research to identify alumni career paths and current affiliations.
  • Research best practices for creating and engaging an alumni network.

Digital Content & Web Support

  • Update and maintain website content.
  • Research and draft interview questions for the podcast.
  • Assist with the grant calls video promotional project.

Research & Program Development

  • Compile PhD projects and joint research projects by theme or topic.
  • Support outreach for the École Polytechnique internship program.
  • Assist with preparation for Fall 2026 calls.

Minimum Qualifications

  • High school diploma or equivalent.
  • Fluency in French.
  • Excellent written communication skills in both French and English.

Preferred Qualifications

  • Audio and/or video editing skills.
