The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Quality & Systems Coordinator is a position within the Division of Dermatopathology that supports both laboratory and administrative operations. The incumbent serves as an Epic Beaker superuser; partners with the Lab Manager on LIS protocols, annual system validations, divisional administrative SOPs, and laboratory audits; and collaborates with the Associate Director of Operations, Strategy, & Financial Analysis to develop administrative SOPs, support process improvement initiatives, conduct billing audits, and prepare operational metrics. The role requires strong collaboration, organizational ability, attention to detail, and sound judgment when engaging internal and external Dermatology stakeholders.
Responsibilities
Quality & Process Improvement
- Collaborate with the Dermatopathology Administrative Manager and Laboratory Manager to support process improvement projects that streamline workflows, reduce errors, and enhance quality and compliance within the Division of Dermatopathology.
- Prepare operational performance metrics and summaries in collaboration with the Associate Director to support data-driven decisions by leadership.
- Conduct quality assurance audits and error trend analysis to identify areas for improvement in documentation and workflow.
Compliance
- Collaborate closely with the Laboratory Manager and Administrative Manager to ensure laboratory and administrative systems comply with internal policies and external regulatory requirements (CAP, CLIA, NYSDOH, and institutional standards) by maintaining up-to-date SOPs, monitoring workflow compliance, and documenting all LIS validation activities and configuration changes.
- Support internal and external audits by ensuring accurate records, system logs, and validation summaries are readily available for review.
- Assist with billing audits in collaboration with the Associate Director of Operations, Strategy, & Financial Analysis, ensuring workflows and documentation support compliance and optimal reimbursement.
- Review and revise existing documents on a defined cadence to maintain alignment with best practices and regulatory changes.
Training and Development
- Serve as an Epic Beaker superuser; provide training, mentorship, and at-the-elbow support to staff on system use and documentation standards.
- Train staff on compliance and quality control procedures and foster a culture of safety and compliance within the lab.
- Perform other related duties and responsibilities as assigned/requested.
Minimum Qualifications
- Bachelor’s degree or equivalent in education and experience.
Preferred Qualifications
- 1-2 years relevant experience in a similar role within a healthcare setting.
- Prior EMR experience.
Other Requirements
- Working knowledge/proficiency of Medical Terminology.
- Extensive knowledge of Epic Beaker.
- Candidate must demonstrate strong aptitude for detail, flexibility, adapt to change, and ability to work independently.
- Experience providing training and mentorship.
- Ability to work collaboratively with cross-functional teams and subject matter experts.
- Proficiency in creating and managing technical documentation and manuals.
- Strong analytical skills with the ability to perform quality assurance audits and error trend analysis.
- Must have excellent communication skills, interpersonal skills, and a strong ability to deescalate stressful situations.
- Basic proficiency in computer skills including, but not limited to, Electronic Health Systems, Microsoft Excel, Microsoft Word, email systems, etc.
- Must be a motivated individual with a positive mindset and exceptional work ethic.
