Position Summary

The Financial Coordinator is a temporary full-time position, estimated to be for approximately 6 months, that will support business units within the College of Dental Medicine in completing initiated transactions, troubleshooting and correcting transactions for them to be finalized, and assist with some basic reporting on a set of financial transactions at CDM.  Transactions will include vendor setups, purchasing, accounts payable, expense reimbursement, & p-card policy.  Reporting will include basic reports from the university’s various enterprise systems for procurement, development, finance and business analytics.  This position will also be responsible for collecting and reporting on transaction data, workflows and training needs. Reporting to the Chief Financial Officer.


Responsibilities

  • Assist administrative staff in the timely, accurate and compliant completion of financial transactions including, vendor creation, requisitions and change orders, invoice processing, internal fund transfers, business expense reimbursements.
  • Provide troubleshooting, corrections and escalations for transactions that are found to have problems, errors or complications that are not easily resolved.
  • Run reports as requested for administrative staff from various university systems, including but not limited to: finance & accounting, procurement, development
  • Collecting metrics on volume, type and source of transactions and transaction requests for regular reporting to management and for further analysis and improvement of administrative support
  • Development of basic transaction workflows both for use in training of staff and in diagnosis of process improvements
  • Development of basic use guides for CDM administrative staff to improve their ability to successfully initiate transactions and their completion.
  • Coordination of referrals for non-finance transactions, as appropriate.
  • Assist the Human Resources team with IT-related requests and troubleshooting, including coordinating CWID, UNI and email account creation for new hires.  
  • Submit HR onboarding ServiceNow requests to ensure new hires receive the required equipment, software and system access.
  • Other duties as assigned

Minimum Qualifications

  • Requires a Bachelor's degree or equivalent in education and experience.

Preferred Qualifications

  • Bachelor's degree or equivalent in education and experience.
  • Demonstrated experience with effectively handling administrative and financial transactions. 
  • Demonstrated experience with handling administrative and financial transactions through various systems and software applications.
  • Strong organizational skills and the ability to handle multiple and competing requests. 
    Strong customer service orientation and skills to work with a range of people at all levels of the organization. 
  • High work standards to ensure transactions are correct, complete, timely and compliant.
  • Familiarity with Columbia University systems (ARC, FDS) and processes.
