The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to the Assistant Director for Curriculum and Instruction and working closely with the Executive Director of Academic Affairs, the Coordinator supports the daily operations of the Office of Academic Affairs in curriculum, instruction, and faculty support. This position requires a consistent on-site presence and serves as a primary front-line point of contact for SIPA instructors, teaching assistants, students, staff, and visitors seeking assistance. Key responsibilities include coordinating course scheduling and instructional support; maintaining curricular records and systems; and managing office communications, including the shared SIPA Academic Affairs inbox.


Responsibilities

Operations and Front-Line Support: 

● Serves as a welcoming first point of contact for instructors, teaching assistants, students, staff, and visitors seeking assistance from the Office of Academic Affairs.
● Provides in-person office coverage during regular business hours and responds to walk-in inquiries and day-to-day operational needs.
● Manages the shared SIPA Academic Affairs inbox, monitors incoming communications, prioritizes requests, routes messages to appropriate staff members, and tracks follow-up items.
● Maintains professional, responsive, and service-oriented communication with internal and external stakeholders.

Instructional Support: 

● Provides support to instructors related to CourseWorks, course scheduling, examinations, registration, and grade submission timelines.
● Responds to requests regarding teaching assignments, enrollments, systems access (such as CourseWorks, Zoom, EMS), classroom needs, and instructional materials.
● Coordinates adjunct instructor office hours and manages shared adjunct office space.
● Schedules orientations for new and part-time faculty, and provides orientation and information sessions on Courseworks, office hours, Zoom Pro access, exams, and other course logistics.
● Supports TAs, Readers, and Student Assistants by coordinating orientations, updating resources and handbooks, assisting with room requests for review sessions, and providing access to Courseworks and other instructional tools.
● Maintains faculty biography and directory information, coordinating updates with relevant SIPA offices as needed.

Curriculum and Instruction Administration: 

● Administers updates to the SIPA Bulletin, course directories, and course information in SIS, EMS, and related systems.
● Updates and reconciles degree audit records in Stellic and other academic systems as assigned.
● Supports collection, review, and tracking of course syllabi for compliance, planning, and ad hoc requests.
● Coordinates classroom utilization, including course room assignments, final examination scheduling, and ad hoc room requests.
● Supports academic processes and other instructional operations as needed.

Academic Affairs Operations, Analysis, and Projects: 

● Supports online research, data gathering, reporting, and special projects in support of the Office of Academic Affairs.
● Assists with process improvements, documentation updates, and administrative initiatives as assigned.
● Provides operational support for emerging priorities, peak-cycle activities, and cross-functional office needs.
● Assists with special projects, research requests, and general administrative support as assigned.

Supervision and Coordination: 

● Assists with selecting, training, assigning, and overseeing student workers who provide administrative or research support.
● Helps coordinate workflows across office functions to ensure timely, accurate completion of assignments.


Minimum Qualifications

● High school diploma or equivalent required;
● Must have a minimum of three years' related experience.
● Excellent interpersonal, organizational, verbal, and written communication skills.
● Strong attention to detail and ability to manage multiple priorities simultaneously.
● Demonstrated customer service orientation and ability to work effectively in a high-volume front-facing office environment, preferably in an academic program or higher education
● Experience working with databases, student systems, or other administrative platforms.
● Advanced proficiency in Excel, Google Sheets, Google Docs, and standard office software.
● Ability to handle confidential and sensitive matters with discretion


Preferred Qualifications

● Bachelor’s degree highly preferred;
● Familiarity with academic systems used at Columbia University (e.g., SIS, CourseWorks/Canvas, Stellic, EMS) or comparable higher education systems
