Position Summary

The Assistant Director of Academic Affairs at the Department of Mathematics will support the operations of the MA in Mathematics of Finance (MAFN). The Assistant Director will be responsible for participating in the admissions process, advising students, assisting in curriculum management, program promotion, and mentoring and internship programs.

 The Department of Mathematics is comprised of approximately 80 full-time and part-time faculty members, 60 PhD students, over 100 master’s students, and hundreds of undergraduate majors and joint majors. Offering a wide range of courses and featuring world-class faculty, the Department engages in cutting-edge research and teaching in mathematics. The MAFN is offered in partnership with the Department of Statistics, with an annual enrollment of 100 students.

Responsibilities

Academic Affairs

• Assist the Program Director in advising students on course selection, registration policies, procedures, and deadlines; collaborate with other schools on cross-registration issues, and assist with course scheduling.
• Manage program course proposals and modifications in the Course Management system.
• Support the nomination and hiring of course assistants for the MAFN program; prepare, process, and submit appointment paperwork for all MAFN course assistants.
• Monitor the academic standing of enrolled students.
• Draft verification letters for students and alumni, including letters confirming degree fulfillment status and completion of degree requirements.
• Partner with the International Student and Scholar Office (ISSO) to coordinate CPT and OPT processes for MAFN students and recent graduates.

Admissions

• Advise prospective students on admission requirements, policies, and procedures.
• Serve as a reviewer for prospective student applications. Verify applicant information and materials and assist in approving admission to the program.

Communications

• Serve as the primary liaison between the MAFN program and offices such as ISSO, the Graduate School of Arts and Sciences (GSAS), the Office of the Registrar, etc. Work collaboratively with departments and units on student-related matters, including pre-arrival procedures, registration issues, student well-being, medical leaves of absence, and emergency situations.
• Manage communication between the program and students, including a weekly newsletter for current students and a monthly newsletter for program alumni.
• Assist with website maintenance and updates.

Events

• Oversee the promotion of the MAFN program. Create and curate promotional materials, including LinkedIn advertisements, the company page, and a private group for program alumni.
• Manage student activities and event planning, including orientation and graduation ceremonies, alumni networking events, etc.
• Run the mentorship program for students; solicit mentors (alumni and industry professionals) and mentees (current students) and match individuals based on expertise. Collect feedback on participant experience to identify ways to improve the program.
• Coordinate the summer boot camp program, including scheduling of lectures, use of technologies involved, marketing of events, and oversight of the payment portal for participant registration.

Other

• Assist the Program Director in collecting data for annual surveys, such as Quant.net and Risk.net.
• Perform other job-related duties as assigned.

Minimum Qualifications

• Bachelor’s degree and/or equivalent related experience required.
• 2-4 years of related experience.

Preferred Qualifications

• Experience in Higher Education.
