Position Summary

Columbia University Department of OB/GYN is seeking an experienced Senior Patient Care coordinator to support Reproductive Genetics. Members of Women’s Genetics at Columbia have been at the forefront of discovery and implementation of reproductive genetics.  Women’s Genetics includes a team of genetic counselors, MFM-Geneticist, and genetic counseling assistant led by a Maternal-Fetal Medicine specialist/Geneticist, a research genetic counselor manager, and a clinical genetic counselor manager.  This role reports to the clinical genetic counselor manager.

We are seeking a senior patient care coordinator who is able to function independently in a fast-paced environment working with a diverse and high-risk patient population and broad range of referring providers from New York Presbyterian Hospital, CUIMC, and the surrounding communities.  They should have a special interest in reproductive health care with knowledge of genetics or a desire to learn prenatal genetics. In addition, this role involves working with GynOnc care coordinators for GYN cancer genetic counseling services. The care coordinator will also work closely with the Women’s Genetic Center (WGC), our partnership for prenatal genome sequencing. As an academic institution, Columbia’s Department of OB/GYN is involved in cutting edge research and we expect all staff to support and facilitate this mission following "Good Clinical Practice" guidelines and maintain patient confidentiality according to HIPAA guidelines. The coordinator will participate in administrative tasks relevant to research projects in Reproductive Genetics.


Responsibilities

  • Answer and triage incoming calls and patient referrals for reproductive genetic counseling and MFM-genetics consultations.
  • Oversee schedule of seven genetic counselors including management of urgent add-on visits.
  • Provide full clinical administrative support for our MFM-geneticist including scheduling consultations, CVS and amniocentesis, obtaining relevant medical records, placing genetic test orders and performing billing investigations and pre-authorization requests. 
  • Review schedule for appropriateness, request missing/necessary records for case preparation, and confirm clear indications for genetic counseling.
  • Send appropriate records and forms to patients, providers, insurance, and laboratories.
  • Relay negative and low-risk genetic testing results to patients post-genetic counseling.
  • Screen patients with low-risk referral indications, such as advanced maternal age, for interest in appointment and document conversations in the EMR.
  • Assist patients with MyChart activation and telehealth readiness or difficulties.
  • Speak with laboratories when additional information is required.
  • Call insurance to schedule peer to peer for genetic testing denials.
  • Manage the Epic template for all genetic counselors and MFM-geneticist, and implement any template changes as a super user.
  • Order testing kits for offices as needed.
  • Maintain genetic counselor time off trackers and submit to HR monthly.
  • Support outside referrals for genome sequencing to the WGC, obtain and scan records and consent forms.
  • Obtain medical record numbers for new genetic patients and validate insurance.
  • Ensure stock of genetic testing kits across multiple ordering offices.
  • Perform other related duties and responsibilities as assigned/requested.

Minimum Qualifications

  • Requires a bachelor’s degree or equivalent in education and experience, plus three years of related experience.
  • The position will be part of a team environment and should demonstrate a personal commitment to outstanding customer service, excellent communication skills and organizational skills, and the ability to function within a collaborative practice.
  • Computer skills required--Microsoft Office including PowerPoint and Excel. 

Preferred Qualifications

  • Bilingual in English/Spanish.
  • Ability to work collaboratively in multi-disciplinary teams.
  • Strong problem-solving skills.

Other Requirements

  • Administrative experience in genetics.
