The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Reporting directly to the Director of Academic Administration (DAA), the Manager of Academic Administration (MAA) manages and implements key administrative operations of the Theatre Program. The MAA coordinates course scheduling, faculty support, and space management, helping ensure that the curriculum runs smoothly and that students and faculty have the resources they need. Working closely with the DAA and faculty leadership, the MAA contributes to admissions and recruitment efforts, orientation planning, internships, and major program events.
This is an 11-month position.
Responsibilities
GENERAL ACADEMIC ADMINISTRATION: 70%
- With the DAA, manages day-to-day communications with full-time and part-time faculty throughout the year, including correspondence related to orientation, department policies and procedures, course scheduling, rosters and attendance records, course evaluations, and grading. Is responsible for note taking at all faculty meetings.
- Assists the DAA to provide all course information for the Registrar. Reviews the Directory of Classes and works with the DAA to ensure all course information in the Registrar’s system is accurate for the Theatre Program.
- Manages the course scheduling and the classroom assignment process, including creating and inputting the course schedule on the Theatre Program Wiki.
- Provides administrative support for the internship program and placements; maintains student placement paperwork and administers the Employer Evaluation Survey.
- Independently maintains all student and faculty contact information.
- Assists the DAA and Chair to review, revise, and update the Student and Faculty Handbooks.
- Assists the DAA with content creation for the website and Theatre Wiki.
- Hires and manages a team of Student Service Positions working for the office.
- Attends weekly DAA meetings with SOA Staff and monthly Faculty meetings to take notes.
- Documents standard operating procedures, workflows, and calendar of the Theatre administrative team for curricular planning, record-keeping, and to onboard and successfully transition new staff and faculty.
- Travels with the Acting Faculty (currently to Chicago and San Francisco) to provide administrative support for acting auditions during recruitment season.
SPACE MANAGEMENT: 20%
- Manages ongoing spaces reservations in EMS including (but not limited to) thesis rehearsals, Schapiro technical weeks and performance dates, and classroom schedule.
- With the DAA, develops and maintains space usage policies and guidelines to ensure equitable access, compliance with School and University procedures, and alignment with program priorities.
- Tracks how spaces are used throughout the year and works with faculty and staff to improve scheduling and long-term planning.
- Oversees the staff members responsible for daily and last-minute Theatre Student bookings in EMS.
- Coordinates with other SOA programs as needed in regards to space ventures, liaises with SOA programs and IT semesterly to upload all courses.
EVENT PLANNING: 10%
- Assists with special events throughout the year, including (but not limited to) Commencement, admitted students’ events, holiday party, and open houses.
- Organizes timelines and logistical details for program events, ensuring that information is shared clearly and deadlines are met.
- Coordinates with School of the Arts offices and external vendors to secure space, technology, and catering for program events.
- Other appropriate duties, as assigned.
Minimum Qualifications
- Bachelor’s degree and/or equivalent related experience.
- Minimum of three years related administrative experience.
- Rigorous attention to detail in all aspects of managing a busy academic office, including data management.
- Excellent interpersonal, organizational, and communications skills (verbal and written).
- Ability to work independently and exercise good judgment on concurrent projects in a fast-paced environment.
- Must be able to prioritize and organize workflow within established timelines to achieve goals.
- Ability to professionally and appropriately manage sensitive, confidential matters that require a high level of tact and discretion is essential.
- Advanced computer skills and experience with Macintosh and PC systems, Microsoft Word and Excel software, Google Drive, Internet and E-mail systems and other specialized data management software.
