The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

Reporting to the Assistant Director, Planning & Continuity, the Associate Manager, Housing Services is responsible for executing and supporting core housing assignment operations and administrative functions across the academic year and summer housing cycles. The role focuses on assignment execution, documentation maintenance, administrative coordination, and staffing support to ensure accuracy, consistency, and continuity of Housing Services operations.

The Associate Manager serves as a key operational and administrative partner within Housing Services, supporting high-volume housing processes, managing assigned workflows, and ensuring that documented procedures are followed, maintained, and updated in alignment with departmental standards.

This position is designated as essential personnel and is required to report to campus during emergency closures as needed.


Responsibilities

Assignment Execution & Support:

  • Executes undergraduate housing assignments for the academic year and summer housing periods in accordance with established allocation strategies, timelines, and policies 
  • Supports room selection, assignment updates, reassignments, cancellations, and interim housing processes under the direction of the Assistant Director
  • Prepares and processes assignment-related updates in StarRez, ensuring accuracy of placements, billing indicators, and contract status
  • Assists with conference and special group of housing assignments as needed, including coordination of rosters, occupancy details, and timelines
  • Identifies discrepancies or issues within assignment data and escalates appropriately for review and resolution

Administrative Coordination & Staffing Support:

  • Coordinates administrate aspects of hiring casual and temporary staff, including scheduling interviews, managing candidate scoring documentation, and preparing hiring materials for processing
  • Supports onboarding logistics and administrative documentation for new casual and temporary staff
  • Assists with staffing coordination during peak housing periods to ensure adequate coverage and continuity
  • Provides administrative support related to assignment-related communication, tracking, and reporting

Documentation & Intranet Maintenance:

  • Supports the ongoing organization, review, and maintenance of Housing Services documentation on the departmental intranet
    Assists with annual and cyclical reviews of assignment-related processes to ensure accuracy and relevance
  • Organizes documentation updates in collaboration with functional leads and ensures changes are reflected across systems and reference materials
  • Supports the Assistance Director in maintaining alignment between documented processes and day-to-day operational practices

Health, Safety, & Coordination Support:

  • Assists with coordination of service-related inspections and documentation related to health and safety requirements
  • Supports tracking and organization of inspection records, follow-ups, and compliance-related documentation
  • Coordinates with Guest Services, Facilities, and other partners as needed to ensure service-related documentation is complete and accessible
  • Provides support during move-in, move-out, and other peak operational periods requiring administrative coordination

Planning Support & Special Projects:

  • Assists the Assistant Director with upkeep, maintenance, and administrative tracking of the Housing Assignments Roadmap
  • Supports special projects related to process improvement, documentation refinement, and administrative efficiency
  • Participates in cross-functional meetings as assigned to support coordination and information flow across Housing Services
  • Performs other duties as assigned in support of departmental priorities

Minimum Qualifications

  • Bachelor’s degree required or equivalent experience
  • Minimum of 2–4 years of experience in housing, student services, administrative operations, or a comparable environment
  • Strong organizational, documentation, and coordination skills
  • High attention to detail with the ability to manage multiple concurrent processes
  • Experience working with administrative systems and databases (e.g., StarRez, Microsoft Office, Asana, intranet platforms)
  • Strong written and verbal communication skills
  • Ability to work on-site during peak periods, emergencies, weekends, and holidays as required

Preferred Qualifications

  • Experience in university housing or large-scale residential operations
  • Familiarity with housing assignment processes and student lifecycle operations
  • Experience supporting hiring or administrative staffing processes
  • Comfort working in high-volume, deadline-driven environments
