The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Columbia Alumni Association (CAA) and University Relations team within the Office of University Alumni Relations and Development supports the engagement of more than 400,000 alumni worldwide, as well as the identification, cultivation, and stewardship of alumni volunteers serving the CAA, its committees, global clubs, and affiliated alumni groups. The team works collaboratively across the Office of Alumni Relations and Development, its School-based partners, students, and other University stakeholders.
Reporting to the Director, the Assistant Director (AD) partners closely with the Director, the Vice President for University Alumni Relations (VP), and members of the CAA & University Relations team to support and advance the strategic priorities of the organization. This role provides programmatic and operations support through management of complex calendars and schedules, coordination of meetings and communications for the CAA Board and School partners, oversight of event logistics, and implementation of processes and procedures that strengthen and advance the mission of the CAA.
Responsibilities
- Serve as a staff liaison for CAA Board activities, including meetings, calls, and related initiatives, while maintaining associated data and systems management processes.
- Serve as a liaison and strategic staff partner to assigned CAA Board committees.
- Collaborate with senior leaders and colleagues across the Office of Alumni Relations and Development to support the planning, implementation, and coordination of events, programs, and strategic initiatives.
- Work closely with and provide operational support to the Executive Committee of the CAA Board of Directors.
- Draft, edit, and coordinate communications and correspondence on behalf of the CAA Chair and Vice President for University Alumni Relations.
- Assist in preparing briefings, agendas, and related correspondence for the Vice President for the CAA Board, CAA Committees, and School-based/University partners.
- Deliver professional, responsive, and engaging service to alumni, volunteers, and University stakeholders.
- Anticipate team and project needs by taking a proactive approach, helping to drive initiatives forward, and ensuring time execution of assigned responsibilities.
- Perform additional duties and special projects as assigned.
Minimum Qualifications
- A bachelor’s degree and/or its equivalent.
- A minimum of two years of related experience.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with exceptional judgment, discretion, and the ability to handle sensitive and confidential information.
- Demonstrated attention to detail, with a high degree of accuracy and thoroughness.
- Proven ability to prioritize multiple responsibilities and manage competing demands in a fast-paced, deadline-driven environment while maintaining professionalism and diplomacy.
- Demonstrated success in areas such as project coordination, collaboration, teamwork, and delivering high-quality service to internal and external constituents.
- Strong proficiency in Microsoft Office applications, especially in Excel.
Preferred Qualifications
- Database experience is recommended.
- Demonstrated excellence in a variety of competencies, including project management, teamwork, and client/customer awareness.
- Experience in a development office or in a higher education setting.
