Position Summary

Reporting to the Assistant Director of Supply Chain Operations, the Supply Chain Assistant will Support the Supply Chain Team in the processing, receiving and distribution of internal and external dental labs across all Vanderbilt Clinic programs.  Assist with equipment and material ordering, logging of labs and digitally printed items, and sending digital scans to lab partners.  Specific focus will be on tasks that support the digital dentistry system throughout the Vanderbilt Clinic and assisting members of the Supply Chain team in developing, expanding and maintaining the system.


Responsibilities

  • Primary tasks will be to process dental lab scripts created in the Epic patient portal and send these cases to the specified labs, both internal and external.
  • Provide key support to undergraduate and postgraduate students, assisting them with processing the lab script, reviewing the Rx to confirm it is complete and accurate, and submitting all pertinent info to the specific vendor, including photos, digital scans, or casts and restorative components.  Maintain and build upon the current system for tracking of lab cases, both incoming and outgoing.  Maintain open communication with students and vendors, ensuring both adhere to CDM policies with direct follow up as necessary.
  • Communicate with the CDM Finance group in regard to invoicing, payments, and accuracy of items received.  Follow up with any outside vendors that have delays with deliveries and provide this info to student and faculty providers.
  • Assists the staff of the CDM digital design lab with identifying and labeling of 3D printed materials such as models, surgical guides and dentures and then communicating to providers that the items are ready for pick-up.   If any delays or lags occur, communication should be made to the specific provider detailing expected production timeline.
  • Working closely with other members of the Supply Chain team, will assist in ensuring that all appropriate materials are ordered and maintained and that asset software tools are utilized for tracking of materials used for patient cases.  Prepares and reviews reports as needed, using data from asset management software and PowerBi.  Continual improvement and maintenance of asset tracking database, working towards the consolidation of systems where possible.
  • Perform related duties as assigned.

Minimum Qualifications

  • Requires a bachelor's degree or equivalent in education and experience.

  • Must be detail-oriented and have excellent interpersonal skills.
  • Strong work ethic and the ability to multitask a must.
  • Must be computer literate and well versed in basic MS Office programs and Teams.
