The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to Physician Schedulers and Department Leadership, the Scheduling Coordinator works closely and collaboratively with faculty leadership to support and improve administrative and operational functions within the Department of Anesthesiology. The Scheduling Coordinator serves as the subject matter expert and obtains provider availability on a monthly and daily basis to complete the shift schedules for department locations. Incumbent must have acute attention to detail and ability to cultivate relationships to deliver high level customer service in a fast-paced environment.


Responsibilities

Physician Scheduling Support

 

  • Creates monthly scheduling templates for multiple divisions within the Department and provides support to the Physician Schedulers and Department Leadership, who will make final scheduling decisions
  • Serves as the subject matter expert; understands and applies specific scheduling guidelines to address the unique needs of each division
  • Utilizes and demonstrates in-depth working knowledge of the department's scheduling system, currently QGenda.
  • Is the liaison to the scheduling platform vendor, currently QGenda
  • Will provide support with tasks such as creating new accounts and tasks, maintaining user profiles, and acting as a liaison to QGenda technical support staff.
  • Performs scheduling maintenance, daily edits, and provides reports as needed
  • Educates providers on scheduling protocols and guidelines
  • Generates provider reports for department and scheduling leadership on annual clinical/scholarly/administrative hours
  • Plans future schedules and responds to requests for paid time off, meetings, and other non-clinical days as requested by faculty
  • Responds in a timely manner to provider’s inquiries and scheduling changes while maintaining confidentiality and discretion with sensitive information
  • Troubleshoots and resolves daily and future staffing concerns
  • Plans, organizes, and prioritizes tasks and schedule to meet critical deadlines

 

Administrative Departmental Support

  • Resolves problems independently, drafts correspondence, coordinates and assists in gathering information, using sound judgment in determining priorities
  • Provides accurate responses to inquiries with appropriate follow-up
  • Organizes and manages special projects of varying size and scope for the Administrator's office including department-wide programs and initiatives
  • Provides administrative support to department leadership as requested
  • Cross covers for other administrative staff and performs other duties as needed

Minimum Qualifications

  • Bachelor’s degree or equivalent in experience with a minimum of four years of relevant administrative experience.  
  • Proven ability to interact with all levels of faculty and staff and ability to develop strong relationships through email, text, and phone
  • Acute attention to detail
  • Ability to exercise excellent judgment and diplomacy in all interactions
  • Ability to prioritize work and possess a professional sense of accountability.
  • Ability to show independent thinking, analysis, and problem-solving capabilities
  • Strong written and verbal communication skills
  • Must be able to accurately handle diverse projects and a large volume of detailed work simultaneously
  • Proficiency in business software applications (Outlook, Excel, Word, PowerPoint) and comfortable with new technologies and software.
