The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Reporting to the Principal Investigator (PI) of the MINERALS Project, the incumbent will be responsible for providing broad administrative and programmatic support for the MINERALS Project at the Lamont-Doherty Earth Observatory (LDEO) to ensure the smooth execution of administrative and programmatic activities. The incumbent will be responsible for working with the PI to coordinate the scientific activities of the MINERALS scientific team, to enhance the team’s internal and external communications (including social media) to serve as the administrative point-of-contact for the MINERALS team within the Seismology, Geology, and Tectonophysics Division; and to plan seminars and workshops associated with this project. The incumbent will work with the team to design, implement, and maintain a mineral properties database for geophysical modeling developed as part of the MINERALS Project.
Responsibilities
- Manage group travel and reimbursements, purchasing, and vendors; assist the PI in recruitment and hiring; assist the PI in preparation of project reports; and coordinate with the SGT Division Administrator and Associate Director to provide salary information and coordinate hiring and searches.
- Track and manage the program’s budget, assuring compliance with Columbia University (CU) policies and the project award.
- Track progress with respect to project milestones.
- Assist with planning and implementing the logistics of seminars and a scientific workshop in 2026. Draft communications providing information on the events, coordinate registration, and serve as point of contact for meeting registrants.
- Implement CU and LDEO policies regarding the use of campus facilities.
- Maintain web-based databases and Excel spreadsheets critical to MINERALS project operations.
- Track and manage data transfers, ensuring availability in the MINERALS database.
- Work with the LDEO IT Team to ensure compliance with CU and LDEO IT policies.
- Serve as internal and external point-of-contact for the MINERALS scientific team.
- Route external inquiries to appropriate project personnel and work with team members to develop efficient means of communication and data sharing.
- Create and manage a social media presence for the MINERALS Project.
- Serve as point-of-contact with the Communications Office of the Columbia Climate School.
- Other duties as required.
Minimum Qualifications
- A bachelor’s degree or equivalent directly related experience is required.
- Must have excellent organizational and communications skills, as well as the demonstrated ability to work efficiently in a deadline- and detail-oriented environment under general supervision.
- Broad computer skills are required, including word processing and spreadsheets.
- Preference will be given to candidates having experience with: budget tracking, expense reporting, and database management; social media management; knowledge of Columbia University policies and experience with CU business systems; and experience with event planning.
