Position Summary

Reporting to the Assistant Dean of Judicial Careers, the Programs Manager for the Office of Judicial Careers is responsible for daily administrative work for the Office, maintaining office operations, and supporting the Office’s commitment to serving students and alumni


Responsibilities

  1. In collaboration with the Assistant Director for Operations and Communications, independently administer and maintain the Office’s judicial clerkship databases, exercising judgment to ensure data integrity, consistency with established data standards, and alignment with workflow requirements. Identify, investigate, and resolve data discrepancies and routine exceptions, and recommend process improvements as appropriate. Maintain accurate and timely information supporting the judicial clerkship application and placement process, including judge preferences, alumni post-clerkship evaluations, clerkship interview evaluations, and other related records.

  2. Maintain office services by organizing office operations and procedures, managing hard copy and digital correspondence, and assigning clerical functions. Serve as point person with regards to orders, receipts, office supplies, and any necessary purchases for programming and events.

  3. Set up for programming and Office events, including booking rooms for events and for judicial visitors, coordinating food delivery, printing materials, and assisting with audience needs during events.

  4. Manage the administrative processing and tracking of judicial clerkship and internship applications, exercising independent judgment in evaluating completeness, identifying discrepancies, resolving routine exceptions, prioritizing time-sensitive matters, and determining when issues require escalation.

  5. Document attendance for events by creating and monitoring RSVP forms; taking photographs; and communicating with Office of Judicial Careers staff.

  6. Perform additional responsibilities as assigned and requested by the Director of Judicial Careers.


Minimum Qualifications

  1. Bachelor’s Degree or its equivalent required.
  2. A minimum of 1 (one) year of related experience.

Preferred Qualifications

  1. Demonstrated experience in successful project coordination involving databases and a high volume of confidential and complex material.

  2. Must be meticulous, organized, and professional with excellent time management skills, judgment, and the ability to maintain confidentiality.

  3. Outstanding interpersonal, oral and written communication, and organizational skills are necessary.

  4. Excellent computer skills, including Word, Salesforce, and Excel skills, are required.

  5. Must be willing to learn and implement new technologies to enhance task performance.

  6. Ability to take initiative and follow through with minimal supervision as well as meet deadlines, work under pressure, and adapt to changing priorities required.

  7. Experience in higher education setting a plus.
