The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Eleanor and Lou Gehrig ALS Center in the Department of Neurology are looking for a Practice Coordinator to join our growing clinical operations team. The Practice Coordinator will provide administrative oversight to the ALS Center’s multidisciplinary outpatient clinical practice located at the Neurological Institute.
Responsibilities
The Practice Coordinator supports the day-to-day operations of the ALS Center and supervises staff who are primarily engaged in patient registration, coordination, and scheduling appointments with ALS Center neurologists and other health providers and whose primary responsibilities include scheduling tests and procedures, phone management, scanning of medical records, data entry in electronic health record and EPIC. Other delegated duties as needed.
Practice Operations
- Coordinates all processes and activities in the assigned area by ensuring organizational guidelines and policies are followed. Provides hands-on coverage when needed and appropriate.
- Troubleshoots when necessary to ensure proper patient flow. Provides guidance and assists with referral management to other providers as necessary. Adheres to all standards for protecting personal identifying information obtained from patients and monitors staff to ensure that staff follows all protocols to protect patient privacy.
- Evaluates workflow and staff productivity to ensure maximum efficiency.
- Evaluates clinic manager dashboard including, but not limited to Front Desk, Scheduling, Referrals, In-Basket management, etc.
- Supervises all ALS Center work queues for accuracy and completion.
- Supervises ALS Center Director’s outpatient clinic and consult schedule.
- Oversees ordering and stocking of all clinical and office supplies. Monitors supply use and adjust/maintain par levels as needed.
- Collaborates on issues related to the physical environment, developing positive relationships with IT, Housekeeping, and Security.
- Regularly meets with employees to improve communication and to build productive relationships (staff and physicians). Solicits feedback on how to improve performance and provides constructive feedback.
- Establishes a culture of continuous professional development and maintains a patient-centered environment ensuring accountability, quality patient care, and patient satisfaction.
- Identifies and mitigates any roadblocks to performance and evaluates the effectiveness of development.
Electronic health record (EPIC):
- Requests and organizes all previous medical records for the physician’s review. Maintains confidentiality of all health information obtained from patients. Understands and is compliant with all HIPPA requirements.
- Manages medical records requests and ensures that staff provide medical record requests in compliance with all applicable regulations.
Minimum Qualifications
- Bachelor's degree or equivalent in education and experience, plus three years of related experience
Other Requirements
- Excellent interpersonal and organizational skills and the ability to set priorities among multiple competing objectives, tasks, and initiatives.
- Experience with Epic EMR and Microsoft Office Productivity Tools (e.g. Excel, Teams).
- Ability to work independently and as a team member
