The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Dean of Academic Administration, the Manager of Academic Administration facilitates the faculty review process, full-time faculty searches, Committee on Instruction, maintains sabbatical and tenure records.

This is a part-time officer of administration role (21 hours per week).


Responsibilities

Faculty Review Process:
• Reconcile service records and review timeline with Arts & Sciences; notify faculty of upcoming reviews and assign deadlines for all committee letters based on Arts & Sciences timeline.
• Assist the Dean to staff First Level Review committees and Practice Representatives to the Standing Committee; organize and disseminate dossiers to First Level and Standing Committee, and to the A&S.
• Work closely with Chair of Standing Committee to schedule meetings, disseminate dossiers, maximize faculty attendance, and collect votes.
• Prepare voting addenda, benchmark comparison charts, referee solicitation materials for case statements; schedule SoA faculty hearings before the Promotion and Tenure Committee (PTC) meetings with Arts & Sciences.
• Work closely with the Dean and senior faculty to advise individual faculty undergoing review regarding the preparation of review materials, including those for tenure and major reviews.
• Draft faculty review outcome letters on behalf of the Dean of the School of the Arts.

Full-Time Faculty Searches:
• Assist the Dean and faculty to craft job postings and staff search committees.
• Post faculty searches via Interfolio and coordinate external advertising for approval by the Dean; disseminate guidelines and application instructions to search committees; keep Deans apprised of the status of applications.
• Maintain an archive of search reports for use in future tenure review case statements.
• Coordinate with A&S to confirm salary ranges for faculty ranks.
• Liaise with the Executive Assistant to the Dean to schedule finalist interviews; disseminate CVs and cover letters to the Dean for shortlisted candidates.

Committee on Instruction (COI):
• Assist in the submission of new program proposals to Academic Program Approval System (APAS).
• Collect course proposals for program Directors of Academic Administration (DAAs).
• Assist with course proposal workflow in Student Information System (SIS).
• Schedule SOA COI meetings, organize materials, present proposals, and collect votes.
• Work with the Dean to notify DAAs of any changes or further discussions needed for proposals.

Sabbatical Records:
• Keep track of tenured sabbatical records, reconciling with Provost Office annually.
• Confirm sabbatical eligibility for faculty in consultation with the Provost Office.
• Communicate with faculty as needed to ensure they have received and submitted their requested sabbatical paperwork to the Provost Office.

Other:
• Work with the Director of HR and Directors of Academic Administration to ensure that the selection and appointment of new adjunct faculty adheres to SoA’s SSEP.
• Manage Dean’s Office server.
• Manage the University Senate Election process (every two years).

Other appropriate duties as assigned.


Minimum Qualifications

  • Bachelor's degree and/or equivalent experience.
  • Minimum of three years of related experience required.
  • Excellent interpersonal, organizational, and communication skills required.
  • Facility with Microsoft Excel, Word, electronic calendar programs, and data base management programs required.
  • Excellent writing and editing skills required.
  • Tact, discretion, and the ability to maintain absolute confidentiality, are all essential.
  • Ability to work on concurrent projects and multiple deadlines with minimum supervision required.
