Position Summary

The Mailroom Assistant provides essential mailroom and package services for the Columbia University Irving Medical Center (CUIMC) Office of Campus Services. This role supports the central residential mailroom and package center by handling visitors and mail-related inquiries; receiving, sorting, distributing, and shipping mail and packages; managing overnight mail locker deliveries; and maintaining accurate tracking and inventory systems.

The Mailroom Assistant serves a primarily resident-facing function while also supporting Campus Services operations across the residential portfolio. The incumbent is expected to represent the Office of Campus Services in a professional, courteous, and customer-focused manner at all times.


Responsibilities

  • Manage incoming and outgoing mail and packages for the central residential mailroom and package center serving CUIMC residential students.
  • Receive, sort, and distribute incoming mail and packages; prepare, sort, and process outgoing mail, including bulk mailings such as bulletins, notices, and other publications.
  • Process shipments through carriers such as UPS, Federal Express, and other vendors for internal customers.
  • Verify, update, and maintain accurate records within the mail tracking system for all incoming and outgoing shipments and deliveries.
  • Notify recipients of received packages and express mail through the mail tracking system and established communication methods.
  • Deliver mail and packages to overnight mail lockers throughout the residential portfolio, managing delivery requests and schedules to ensure accurate, secure, and timely service.
  • Complete scheduled and as-needed delivery of mail and packages to residential tenants and Campus Services–related offices across the portfolio, as determined by the Campus Services Supervisor.
  • Maintain the mailroom area to ensure cleanliness, organization, safety, and adherence to professional standards.
  • Provide a customer-friendly environment by greeting, acknowledging, and assisting residents, staff, visitors, and delivery personnel in person and by telephone.
  • Identify, document, and report mail- and delivery-related issues, system discrepancies, damaged items, or service concerns in accordance with established procedures.
  • Assist the Manager by notifying Campus Services Facilities of maintenance issues, safety concerns, and resident inquiries, and by completing building-wide deliveries as needed.
  • Provide backup support for Campus Services operations and assist central administrative mailroom staff during peak periods, staffing shortages, or special operational needs.
  • Perform other related duties as assigned in support of Office of Campus Services operations.

Minimum Qualifications

    • High School diploma or equivalent required.
    • Minimum of two (2) years of related experience, or an equivalent combination of education and experience.
    • Demonstrated ability to work in an organized and efficient manner with a high level of accuracy, attention to detail, and follow-through.
    • Well-developed interpersonal, communication, and customer service skills, with the ability to interact professionally and effectively in person and by telephone.
    • Professional appearance and demeanor.
    • Computer literacy with the ability to learn new technologies, including working knowledge of Microsoft Office and mailroom tracking software such as FacilityOs (SCLogic).
    • Working knowledge of mail and shipping processes (e.g., UPS, FedEx) is preferred.
    • Ability to work independently, take initiative on assigned tasks, and accept direction as needed.
    • Ability to lift approximately 15–20 pounds; ability to perform duties requiring prolonged standing, walking, bending, and repetitive motions.
       

Other Requirements

The Office of Campus Services operates on a 12-month basis, and residential facilities do not close. As such, this position is designated as an essential employee.

In the event of severe weather, emergencies, or campus closures during which the University may suspend classes or operations, employees in this role are expected to report to or remain at their assigned facilities as soon as conditions reasonably permit in order to support continuous residential operations.
