Position Summary

The Department of Pediatrics is seeking an eager candidate to join our team in a full-time position as a Grants Coordinator. The Grants Coordinator will support the financial management and administration of research for the Department of Pediatrics. This position is designed as an introduction to grants management. The ideal candidate could potentially move on to more advanced roles after three or four years. The position will work with administrative staff to ensure the department operates in a fiscally sustainable manner. The position will require a fine attention to detail, a firm grip of basic mathematics and good aptitude for MS Excel.


Responsibilities

  • Assist the department’s senior grants administrators with tracking, reporting and processing; and train under the direction of the Sr. Director and Sr. Research Administrators. 
  • Learn, continuously develop and maintain a strong working knowledge of regulations, policies, and guidelines related to the conduct of research; will include rules & regs for NIH and other government agencies, other sponsors as well as Columbia University.
  • Work in a fast-paced environment where one must be able to adapt to changes in priorities while ensuring completion of all projects.
  • Must be available to meet firm agency deadlines.
  • Actively manage inbound and outbound subawards; and requires careful and timely data entry and monitoring.
  • Manage accounts payable transactions focusing on sub-award invoice payments.
  • Ensure data for various reports are up-to-date and maintained with meticulous detail.
    • Invoice tracking system
    • Track salary on grants for personnel outside of the department.
    • Perform budget vs. actual reconciliation of sponsored and non-sponsored funding sources on project year and fiscal year basis.
  • Maintain detailed, up-to-date records for tracking and evaluating department-wide metrics for the Sr. Director.
  • Maintenance of “other support” documents, and other related ad-hoc reporting.
  • Performs related duties & responsibilities as assigned/requested

Minimum Qualifications

  • Bachelor’s degree or equivalent and experience required. 

Preferred Qualifications

  • Two years of related experience.
  • A bachelor's degree in biological science or business/administration degree such as finance, accounting, business administration, business, public health, public administration, or a directly related field.
  • Prior experience in an academic grant funded environment.

Other Requirements

  • Proficient or Advanced Proficiency in creating and using MS Excel spreadsheets.
  • Proficient or Advanced Proficiency in creating and using MS Word documents.
  • Strong Math Skills and attention to detail.
  • Self-starter with ability to manage multiple priorities and to take initiative on problem solving.
  • Ability to meet deadlines and maintain required confidentiality.
  • Requires a bright, competent and organized individual that is self-motivated, reliable, conscientious, and able to solve analytical problems.
  • This is a hybrid role requiring on-site work.
