The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

The Executive Assistant provides high-level administrative and executive support to the Director of the Center for Early Relational Health, housed within the Department of Pediatrics, with the utmost professionalism, discretion, and confidentiality. This individual plays a vital role in managing the Director’s complex and frequently changing calendar, ensuring seamless daily operations, and serving as a liaison between the Director, University leadership, and external partners.

In addition to supporting the Director, the Executive Assistant provides broad administrative and operational support to the Center’s leadership team. The role involves regular interaction with senior administrators, funders, and collaborative offices across Columbia University and affiliated institutions to strengthen alignment and coordination.

Responsibilities 

    • Provide dedicated, confidential executive support to the Director with professionalism, responsiveness, and exceptional attention to detail.
    • Manage the Director’s complex calendar and shifting priorities.
    • Serve as the primary point of contact for the Director’s office, welcoming guests, coordinating meeting logistics, and maintaining a professional and courteous environment.
    • Liaise regularly with Columbia University’s Development Office, CUIMC Communication's office, funders, and key partners to support external communications and relationship-building.
    • Coordinate with senior administrators, faculty, and partner offices across the University to facilitate effective communication and collaboration.
    • Draft and organize internal communications and outreach materials, including newsletters and website updates.
    • Prepare the Director for meetings and events by assembling agendas, briefing materials, and attendee lists.
    • Coordinate domestic and international travel arrangements for the Director and affiliated leadership, including lodging, transportation, and detailed itineraries.
    • Maintain current contact information for internal and external stakeholders, including faculty, students, funders, and collaborators.
    • In partnership with the Program Manager, maintain departmental organizational charts and manage logistics related to office space and supplies.
    • In partnership with the Program Manager, identify and implement administrative systems that enhance operational efficiency and support departmental goals.
    • Prepare and submit expense reports on behalf of the Director and faculty.
    • Provide event support for Center initiatives, including the COMBO Playdate and other outreach or research activities, design, production, and writing support for print and digital projects.
    • Track and prioritize tasks assigned by the Director and provide regular updates on progress.
    • Performs related duties & responsibilities as assigned/requested.

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience required; plus three years of related experience.

Preferred Qualifications

  • Bilingual Spanish - Proficient.

Other Requirements

  • Flexibility to occasionally support responsibilities outside standard business hours, including weekends, may be required.
