The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to the Associate Dean for Alumni Relations, the Coordinator, Alumni Relations, plays a key role in strengthening engagement between Columbia Business School and its global alumni community. This position manages alumni inquiries and communications, supports leadership engagement, facilitates alumni visits and tours, and provides administrative support for alumni boards.

The Coordinator serves as a primary point of contact for alumni and external stakeholders, providing exceptional service and ensuring that interactions reflect the School’s values of integrity, accountability, teamwork, and respect. This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Manage alumni inbox, phone, and direct engagement inquiries; ensure timely and professional responses or appropriate routing.
  • Maintain and schedule the leadership engagement calendar for the Associate Dean of Alumni Relations.
  • Maintains the alumni online registration, vetting, and tracking process for monthly tours of Manhattanville. Works closely with DAR broadly, student government representatives, and event ops to coordinate and facilitate tours for alumni. Offer assistance in gaining access to Morningside Heights as needed. 
  • Support the Director of Alumni Engagement with alumni club operations, including managing club communications, updating leader lists and contact records, compiling e-folders and briefing materials, coordinating shipments and event materials, and assisting with swag inventory and branded merchandise fulfillment. Maintain accurate tracking of alumni volunteers and board members through OAD and Athena updates, batch volunteer coding, and internal contact documents. Assist with data pulls, alumni reports, and the revision and compilation of the annual alumni club report based on established templates and prior-year materials.
  • Support the updating and maintaining of the alumni database of approximately 50,000 alumni, ensures that the information is inputted accurately, prepares reports for the Director and Associate Dean to track alumni engagement.  Including training and use of Columbia’s Data Management Platform.
  • Maintains and updates online and internal regional alumni events calendars. Tracks club and regional events and updates internal Alumni Relations calendar, as well as alumni website calendar with date, time, and location of domestic and international events throughout the year. 
  • Collaborate with the Programs, Partnerships & Events team to support major alumni programs and provide event coverage as needed.
  • Perform related duties and special projects as assigned.

Minimum Qualifications

  • High School Diploma or its equivalent required; some college preferred. Minimum of three years of related experience required.
  • The successful candidate must be able to work independently and manage multiple detailed projects simultaneously.
  • Must have demonstrated strong organizational, written, and interpersonal skills and an ability to communicate professionally with a variety of stakeholders.
  • Knowledge and interest in education, hospitality, event management, and data reporting are strongly preferred. Proficiency with Microsoft Office and CRM or event management systems (Salesforce preferred).
  • Some evening and weekend hours are required.
