The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

Reporting to the Deputy Director at the Institute of Global Politics (IGP) and working closely with the Senior Director of Event Management at SIPA, the Associate Director of Event Management serves a critical role in the execution of Columbia IGP’s event strategy, helping to ensure strong visibility and attendance for both in-person and virtual IGP events. They assist in executing the unit's events calendar, assessing effectiveness, and developing and implementing improvements. This role will work closely with the Office of Communication and External Affairs team at SIPA on event planning and logistics execution.


Responsibilities

Plan, promote, execute, and measure success of IGP programming, including events, convenings, and IGP Fellow engagement.

Manage and execute event logistics, including scheduling, booking participant travel accommodations, invitations and RSVPs, promotion, AV, live streaming, photography, video, signage, staffing, and catering, deploying appropriate unit staff to the effort.

Manage and track event budgets and expenses.

Research and provide recommendations on new technologies and platforms to expand audience reach and enhance the in-person, virtual, and hybrid event experience.

Develop marketing strategies to reach external audience segments, including alumni and donors; policy professionals; membership of professional associations; and staff at think tanks, leading nonprofits, research institutions, etc.

Collaborate closely with other unit staff to promote selected events via the IGP website, social media, newsletters, email, media coverage, etc.

Manage and grow IGP email lists, and record and track attendee programming preferences, event registration response, and attendance.

Track event success through metrics, soliciting attendee feedback, and providing post-event evaluation summaries, suggesting improvements where appropriate.


Minimum Qualifications

  • Bachelor's degree and a minimum of 3 years of directly related experience, including event management experience and demonstrated knowledge of and experience with event management and virtual/hybrid event platforms.
  • Demonstrated strong project management experience.
  • Excellent computer and digital skills, including Asana, Eventbrite, MailChimp, Word, Excel, Outlook, PowerPoint and social media.
  • Excellent organizational and time management skills, including strong attention to detail and the ability to meet deadlines, multitask, and prioritize across key deliverables.
  • Experience in tracking budgets
  • Exceptional written and verbal communication skills.
  • Must be able to work independently as well as with multiple teams.
  • Availability to work evenings and weekends.
