The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Under the supervision of the Operations Manager and as a member of the Student Services Operations team, the Administrative Coordinator provides clerical, logistical, and operational support to the Dean of Students (DOS) Office, with a specific focus on the Academic Resource Center (ARC) and all affiliated full-time staff and part-time student staff. Serve as a primary point of contact for ARC visitors and supports the delivery of academic support services, student staff operations, and key Student Services initiatives. Collaborate with the Operations Manager, Associate Dean for Student Success Programming, and the broader Student Services Operations team to support front desk operations, manage ARC systems and programs, and support cross-functional initiatives, including incomplete exam coordination and academic planning sessions.
Responsibilities
Front Desk & Student-Facing Operations
- Serve as the first point of contact for ARC visitors, providing a welcoming and responsive environment
- Manage high-volume phone, email, and in-person inquiries related to ARC programs, services, and operations; direct visitors as appropriate
- Provide information on ARC services, academic advising, and School of General Studies policies and procedures
- Schedule appointments and maintain calendars for ARC services and programming
- Support tutoring sessions, workshops, and academic support initiatives
- Manage office spaces and inventory of materials
- Assist with even planning including setup, breakdown, and general operational support
Student Staff Coordination & Payroll
- Provide administrative support for ARC student staff, including tutors, coaches, peer advisors, and assistants
- Support scheduling, supply coordination, and student staff inquiries
- Reconcile and submit student staff timesheets
- Guide student staff through hiring and onboarding processes; file all new hire paperwork for ARC student staff; and track hiring in coordination with HR
- Communicate regularly with student staff regarding timesheets, payroll issues, and policies
- Coordination of student staff training, including space, materials, and catering
Systems & Program Management
- Manage the ARC WC Online scheduling system, including staff setup, scheduling, service configuration, availability, and user support
- Oversee the ARC Technology Lending Library, including inventory management, student request coordination, approvals, communications, and device distribution and returns
Project & Operational Support
- Serve as a contributor to Student Services Operations initiatives
- Support implementation of new processes, systems, and policies
- Assist with cross-functional projects, including incomplete exam coordination and academic planning sessions for newly admitted students
- Ensure project deliverables are completed accurately and on time
Documentation & Continuous Improvement
- Create and maintain documentation for internal processes and procedures
- Update project management systems and student databases
- Identify and implement process improvements to enhance operations and reduce risk
Team Collaboration & Coverage
- Participate in weekly Student Services Operations team meetings
- Provide regular updates on ARC operations and front desk activity
- Contribute to coordination across the Dean of Students Office and partner teams
- Provide front desk coverage support as needed
Minimum Qualifications
- High school diploma or equivalent
- Minimum of three years of related experience
- Receptionist, data entry, and PC experience
- Strong interpersonal, organizational, and communication skills
- Ability to manage multiple tasks simultaneously with strong attention to detail and follow-through
- Some college preferred
- Experience with Columbia University’s Student Information System (SIS) preferred
- Familiarity with Columbia University and School of General Studies policies highly desirable
