Position Summary

Reporting to the Director of Alumni Relations, the Alumni Relations Coordinator assists the Alumni Relations team with alumni events, programs, and opportunities designed to foster and strengthen the relationship between alumni and The Fu Foundation School of Engineering and Applied Science (SEAS). Representing the Alumni Relations team with internal and external constituencies through written, verbal, and in-person interactions. In addition to coordinating logistics for various events and programming, the Alumni Relations Coordinator also supports alumni relations marketing and communications initiatives, has an eye for data, maintains social media channels, and can comfortably coordinate  multiple projects at any given time.  


  • (30% )    Supporting the development and deployment of alumni relations marketing and communications initiatives:

    Coordinate the alumni relations email inbox and implement all communication pieces associated with Alumni Relations programs and events including: template creation and editing process; coordinate alumni print and digital content including obtaining, editing, and disseminating class and program notes; design files; and email marketing

    Logistical  coordination of mailings and emails, including maintaining a marketing calendar.

    Planning and publishing posts on social media, supporting email marketing efforts, Coordinate and update content management on alumni program/event webpages, and managing the production of print materials.

  • (30% ) Coordinating logistics and execution of alumni relations programs and in-person, virtual, and hybrid events:

    Projects include Reunion, various intellectual programming, student-alumni events and initiatives, and programming offered by the Columbia Engineering Alumni Association (CEAA) and Columbia Engineering Young Alumni (CEYA) boards.

    Identify and confirm event venues; creating and managing event registration pages; preparing event materials such as nametags, registration lists, and other collateral; assisting with the coordination of speakers and meetings; and serving as point of contact to alumni online and in-person, supporting attendee management at events and responding to inquiries over email and occasionally by phone.

  • (25% )    Logging, maintaining, researching, and reporting on alumni data:

    Coordinating with the student worker(s) to oversee data input, integrity, and reporting in customer relationship management (CRM) tools.

    Developing post-event reports that analyze alumni attendees, gathers their feedback, and compiles other event data to help organizers measure success and inform improvements.

    Review, research, update, and maintain alumni data in alumni database – managing database entry and maintaining event data entry to ensure database accuracy.

  • (15% )    Coordinate , the purchasing and production of branded giveaways (including those made for tradition events such as the Academic Assembly, Homecoming, Class Day, Commencement, and Summer Send-offs), swag, and gifts, liaising with external vendors and internal partners responsible for finance and budget-related needs.

  • (10% )  Performing other responsibilities and projects as needed.

Minimum Qualifications

  • High School diploma or the equivalent required; Bachelor’s degree preferred, or equivalent in education, training and experience plus 2-years of related experience. Experience using email marketing tools, CRM, MS Office Suite, and some experience with graphic design programs are required.

  • The successful candidate must also possess outstanding verbal and written communication skills; strong interpersonal, organizational and analytical skills; be attentive to detail; and have the ability to work in a fast-paced environment and handle multiple projects simultaneously. Must have the ability to work proactively, both independently and as a team, and be able to exercise excellent judgment, tact and diplomacy in all interactions. Must  use good judgment in prioritizing work. The successful incumbent will also be willing to work flexible hours to attend events that take place outside of the normal workday, as the position requires evening and weekend assignments, on occasion, and a full commitment to work Alumni Weekend/Reunion
