The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

The Administrative Assistant will execute activities of purchasing, accounts payable, reconciliation, and travel/expense reimbursements by actively working with the Center's financial and administrative managers as well as University and vendor accounting/purchasing departments to ensure timely and accurate completion of all purchasing/accounts payable related tasks. As such, s/he will coordinate the overall purchasing process, including processing purchase orders, analyzing and reconciling invoices, and determining appropriate method of payment. The Administrative Assistant will also add new vendors, employees, and other payees to Columbia's payment system and will follow up on all vendor and payment issues. The Administrative Assistant will provide support on all business issues pertaining to accounts payable, accounts receivable, purchasing, and affiliated transactions. S/he will also assist with communicating purchasing, accounts payable, and reimbursement related policies and procedures to Center faculty and staff.


Responsibilities

  • Execute all activities associated with purchasing, accounts payable/receivable, reconciliation, travel/expense reimbursements. Assist with the training of employees on all purchasing, accounts payable and reimbursement related policies and procedures - 75%

  • Provide front office/desk coverage including greeting and directing visitors, providing telephone coverage, processing incoming and outgoing communications, maintaining a filing system, and sorting/distributing mail and deliveries - 20%

  • Perform other duties as assigned - 5%


Minimum Qualifications

  • Bachelor's Degree of equivalent in education and experience
  • 3 years related experience

Preferred Qualifications

  • Experience with Columbia systems including ARC, CONCUR, PaymentWorks
