The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

The Administrative Services Manager will rovide high-level, confidential executive and operational support to senior leadership while overseeing the library’s administrative operations, office services, and key workflows. Serve as a central liaison across university administrative units and ensure efficient coordination of departmental initiatives, meetings, and events.


Responsibilities

  • Provide confidential, executive-level support to senior and professional staff, managing correspondence and initiating follow-up on behalf of leadership - 20%
  • Serve as the primary point of contact for the library’s administrative affairs, resolving inquiries from internal and external stakeholders - 20%
  • Oversee office services and administrative processes; evaluate and enhance policies and procedures to improve efficiency and anticipate future needs.  Assess and coordinate vendors, equipment, services, and software; manage procurement of office supplies and operational resources - 10%
  • Maintain and improve systems and workflows to ensure timely completion of administrative and programmatic deliverables - 10%
  • Provide operational and project management support for committees, working groups, and assigned initiatives; coordinate senior leadership meetings and retreats-  10%                                                                                                                                  
  • Serve as liaison to University administrative offices (HR, IT, and related units), ensuring compliance with University policies and clear communication with Library staff - 10%                                                                                                                           
  • Manage library meeting spaces, including scheduling, billing, policy oversight, and process improvements - 5%                             
  • Coordinate special events and programs, including logistics, vendor management, contract participation, and post-event assessment - 5%
  • Perform other related duties as assigned - 10%

Minimum Qualifications

  • Bachelor’s Degree, preferably in business administration or a related field.
  • A minimum of three years of relevant experience.
  • Excellent written and oral communication skills.
  • Demonstrated ability to work independently, prioritize tasks, and meet deadlines.
  • Demonstrated ability to work collaboratively across departments.
  • Proficiency with office productivity applications (Outlook, Word, Excel, etc.)
