Position Summary

The Columbia University Department of Neurology is seeking a full-time Secretary B to provide administrative support and patient-facing services in a busy medical office. As the Columbia Neurology practice continues to grow, this position will play an integral role in supporting efficient front-office operations and delivering a positive patient experience.


Responsibilities

  • Answer telephone calls, take and route messages, and respond to routine inquiries.
  • Schedule patient appointments, procedures, and diagnostic tests.
  • Obtain, file, and scan test results and other clinical documentation.
  • Use Epic, the electronic medical record (EMR) system, to check patients in and out of the practice.
  • Verify insurance coverage and collect applicable copayments.
  • Support physicians and practice management with the day-to-day front-office operations of a busy clinical practice.
  • Perform other related duties as assigned.

Minimum Qualifications

  • Requires two years of college or completion of secretarial school or equivalent business experience, plus a minimum of one or two years related experience.
  • Must successfully complete systems training requirements.

Preferred Qualifications

  • Experience working in a high-volume medical practice.
  • Demonstrated commitment to providing excellent customer service and patient satisfaction.
  • Proficiency with Epic or another electronic medical record system.
  • Bilingual fluency in English and Spanish.

Other Requirements

  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Excellent attention to detail and the ability to meet strict deadlines.
  • Ability to work independently with limited supervision and collaboratively with practice managers, physicians, and other team members.
  • Ability to learn and effectively use required systems following training.
  • Typing proficiency of 55–60 words per minute.
