Position Summary

Reporting directly to the Senior Nurse Manager, the IVF Nurse Coordinator assists physicians and clinical staff with patient care coordination, patient education, electronic medical record (EMR) management, and clinical support activities related to infertility treatment and office-based procedures. The IVF Nurse Coordinator supports the implementation of established treatment plans and clinical protocols under the direction of physicians and nursing leadership.

Duties include, but are not limited to, medication/immunization administration, point of care testing (POCT), patient communication, and coordination of routine clinical activities. Patient education and communication may occur in person, through the patient portal, or via telephone/e-mail. The IVF Nurse Coordinator works collaboratively with providers and clinical and administrative staff to support efficient patient care operations and a positive patient experience.


Responsibilities

  • Support coordination of infertility testing and treatment plans, including IVF and fertility treatment cycles, under physician and nursing leadership direction.
  • Telephone triage patient calls regarding medications, treatment plans, test results, and procedural instructions following established protocols.
  • Maintain accurate patient charting and documentation within the Electronic Medical Record (EMR) system.
  • Provide routine patient education regarding treatment protocols, medications, and infertility procedures as directed.
  • Review and manage communications from internal and external customers, including in basket messages, immunization updates, and health maintenance items.
  • Ensure infection control compliance within the practice.
  • Employ appropriate measures to support patient and family satisfaction.
  • Communicate physician orders, instructions, and laboratory results to patients accurately and timely.
  • Transcribe and transmit prescriptions per physician instruction and assist with prior authorizations as needed.
  • Assist with recovery room/PACU responsibilities for office-based procedures such as egg retrievals, embryo transfers, office hysteroscopy, and dilation and curettage procedures as assigned.
  • Convey pre-operative and post-operative instructions for office-based procedures.
  • Monitor inventory of supplies and equipment for assigned clinical areas and notify leadership of replenishment needs.
  • Maintain assigned quality assurance logs and documentation.
  • Communicate effectively with clinical and administrative staff to support quality patient care.
  • Adhere to organizational and department-specific safety standards and guidelines.  
  • Participate in departmental meetings, trainings, and process improvement activities as assigned.
  • Participate in rotating weekend and holiday coverage as assigned.
  • Perform general administrative functions, and related duties and responsibilities as assigned/requested.

Minimum Qualifications

  • Requires a bachelor’s degree in Nursing or equivalent in education and experience.
  • 2-4 years of related experience. Clinical rotation experience associated with BSN degree programs will be applied toward related experience requirements.
  • Current New York State RN License.
  • BLS Certification.
  • Ability to work indoors in an environmentally controlled environment with a degree of dust, noise, odors, etc., without undue discomfort.
  • Ability to perform sedentary work that primarily involves sitting or standing for long periods of time.
  • Travel between clinical sites may be required depending on operational need.
  • Duties performed routinely require exposure to blood, bodily fluid, and tissue. Incumbent is expected to perform and/or assist in emergency care and/or first aid as needed.
  • Ability to work collaboratively with a culturally diverse staff and patient/family population demonstrating tact, respect, and sensitivity.
  • Strong communication and interpersonal skills with the ability to communicate effectively with patients, peers, management, and other stakeholders.
  • Demonstrated reliability, adaptability, collaboration, and professionalism in a team-based clinical environment.
  • Strong proficiency in computer skills, including Electronic Health Systems, Microsoft Excel, Microsoft Word, and email systems.
  • Motivated individual with strong organizational skills and attention to detail.

Preferred Qualifications

  • Prior nursing experience in women’s health, ambulatory care, procedural care, or infertility/fertility care preferred.
