Position Summary

The Department of Pediatrics is seeking an Administrative Assistant to join our team in a full-time position to work within the division of Critical Care, Hospital and Palliative Medicine.

Responsibilities

• Assist with division incoming calls, manage conference room maintenance and schedules; Maintain division administrative files.
• Responsible for billing re-credentialing & NYP hospital appointment re-credentialing processes which includes acting as liaison. between Pediatrics HR and Billing/Compliance office, which includes generating and managing OPPE/FPPE for all providers.
• Provide administrative support to the Vice Chair for Intra-Hospital Clinical Affairs, Department of Pediatrics and Director, Program in Women and Children's Bioethics and Section Chiefs.
• Assist in arranging division annual events, welcome/farewell receptions, conferences, lectures, and maintain the on-call schedule in EPIC.
• Responsible for scheduling telehealth visits for PICU telehealth follow-up clinic.
• Maintain and update EPIC scheduling template and ensure patients records are updated in Epic.
• Responsible for checking clinic in-basket in EPIC and corresponding emails related to scheduling appointments.
• Track faculty vacation time. 
• Assist with facilities maintenance and inventory management.
• Prepare & maintain division monthly calendar of lectures, conferences & presentations.
• Assist with academic clinical conferences (Morbidity & Mortality, Quality Assurance, Center for Women’s & Children’s Ethics, Case Conference, Journal Club) which will include confirmation of meeting dates & topics, announcement of & follow up with participants, collection and dissemination of materials.
• Responsible for post conference follow up to include attendance tracking, conference summaries, and maintenance of division historical records, logs, and transcription of conference summaries, as needed.
• Act as liaison for the PICU-sub-intern program between Critical Care attending in charge & the CU Office of Student Affairs.
• Performs related duties & responsibilities as assigned/requested.

Minimum Qualifications

• Bachelor’s degree or equivalent and experience required.

Preferred Qualifications

• Two years of related experience.
