The Administration & Operations team provides operational, financial, human resources, event management, and communications support to University Life staff, students, and institutional partners. Through strong relationships, collaborative problem-solving, and informed policy guidance, the team strengthens the division’s capacity to serve the University community effectively. The team also fosters a shared sense of purpose by coordinating team-building experiences and professional development opportunities. Administration & Operations serves as a central support for the Division, allowing University Life teams to focus on their core missions, initiatives and programs.
Position Overview
Reporting to the Assistant Director of Facilities, IT & Operations (AD), the Facilities Coordinator works closely with the AD, to help maintain the upkeep of University Life buildings and spaces. This includes all spaces in St. Paul's Chapel and Earl Hall buildings; spaces in Uris Hall, Philosophy Hall, Kent Hall, Watson Hall, 3078 Broadway, Ford Hall, UL-assigned spaces in 50 Haven Avenue (CUIMC) and potentially space(s) assigned at the Manhattanville campus.
Responsibilities
Facilities Management
In conjunction with the AD, ensures delivery of all maintenance services across all UL spaces.
Review and respond to ServiceNow tickets, assessing urgency and determining the appropriate level of response. Escalate as necessary to the AD and/or Executive Director (ED).
Submit and track ServiceNow tickets to CUFO as determined by the AD.
Assist the AD in directing CUFO staff and vendors in performing building repairs, preventive maintenance, and landscaping tasks, etc.
Schedule and attend building/space walkthroughs and identify maintenance needs
Support and implement University and departmental policies and procedures.
Maintain inventory of supplies, tools, and equipment to ensure availability.
Coordinate with UL Events to arrange and prepare physical areas for scheduled events.
Attend facilities and operations related meetings as determined by the AD.
Support the daily opening and closing of the Earl Hall building and St. Paul’s Chapel.
Assist the AD on all maintenance and capital projects.
Support the AD with reviewing and tracking facilities-related expenses in Maximo and relevant UL Finance budget sheets on a monthly basis.
Security Management
Complete rounds during shifts to ensure safety and facility issues are addressed appropriately.
Work with AD, Executive Director, Administration and Operations (ED) and Public Safety to investigate security incidents and assess vulnerabilities to enhance safety.
Other
Assists the AD and ED with special projects.
Serves as backup to the IT Coordinator.
Performs additional duties as assigned.
Minimum Qualifications
Bachelor’s degree and/or its equivalent experience.
Minimum of 2 years of related experience.
Strong communication, interpersonal and organizational skills.
Computer literacy including MS Office, and Google Suite.
Ability to be steady and sensitive in highly emotional situations.
Must consistently exercise discretion and excellent judgment.
Must be able to work flexible hours. Evening, weekend, holidays and on-call hours may be required. While we aim to have a set schedule as often as possible, the nature of this position may require variable hours day-to-day or week-to-week.
Respect for services in houses of worship is essential.
Student candidates must be and remain in good academic and disciplinary standing with the University. Students are limited to a total of 20 hours per week.
Variable Hours Officers are only permitted to hold one position at a time at the University
