The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Third-Party Reproduction Coordinators at Columbia University Fertility Centers (CUFC) may specialize in infertility treatments related to gestational carrying (surrogacy), egg donation, embryo donation, or sperm donation and may specialize in these treatments.
Gestational Carrying:

- Consulting all parties in treatment (recipients, GCs, and third-party agencies), and detailing CUFC’s requirements/policies on gestational carrying and expectations
- In relation to third-party agencies, ensuring they have the proper licensing and adhere to CUFC’s policies
- Scheduling and coordinating necessary tests up until embryo transfer/successful pregnancy for all parties
- Creating documentation to facilitate the GC program as needed (i.e. checklists, profiles, patient charts, etc.)
- Collaborating with CUFC’s financial department to pre-collect for all services before rendering
- Assisting in FDA or NYS Department of Health inspections alongside the Third Party Reproduction Manager and providing tracked data to the inspector
Egg/Embryo/Sperm Donation:
- Scheduling phone consultations for potential egg donor applicants or potential egg donor recipients.
- For egg, sperm & embryo donor recipients, collaborating with CUFC’s financial department to pre-collect for all services before rendering.
- For egg donors, reviewing online applications and explaining the egg donation process and considerations, offering an overview of the concept of non-identification in the era of genetic testing and other ethical considerations while demonstrating comfortability in talking about the reproductive process.
- For egg donors, assisting in project management of ongoing donor recruitment and donor retention.
- Assisting in organizational chart management and archiving; regularly engaging QA for each patient.
- For egg, sperm & embryo donor recipients, scheduling phone consultations regarding treatment options, ensuring patients have met screening requirements, and discussing considerations/risks to treatment while demonstrating comfortability in discussing the reproductive process.
- Assisting in pairing egg donor recipients to egg donors, as per CUFC’s policies.
- Working with third-party agencies (egg banks, egg donor agencies, reproductive attorneys, etc).
- Assisting in FDA or NYS Department of Health inspections alongside the Third Party Reproduction Manager and providing tracked data to the inspector.
- Ensuring patients have completed proper pre-screening requirements.
- Educating patients on treatment goals, misconceptions, and reasonable expectations.
- Establishing a compassionate, supportive, and safe environment for patients while guiding them through treatment
- Coordinating treatment cycles from inception to finish (ex: GC/donor selection, facilitating patient genetic counseling, psychosocial counseling, financial clearance, consent signing).
- Working closely with other TPR Coordinators, particularly as patients may pursue multiple types of third-party related treatments.
- Innovating on ways to support patients post-treatment and remains updated on ASRM recommendations, ethical guidance, etc.
- Recognizing opportunities for increased effectiveness; assesses programs regularly to ensure FDA and DOH compliance are consistently met.
- Ensuring treatment outcome data is tracked and accurately reported
- Coordinating a variety of project projects including the recruitment of new donors, educational content, and development of new initiatives, for example.
- Maintaining/QA’ing current departmental records and databases, creating new documentation as needed to support program compliance and effectiveness.
- Conforming to applicable HIPAA, Billing compliance and safety guidelines.
- Performing other related duties and responsibilities as assigned/requested.
Minimum Qualifications
- Bachelor’s degree or equivalent in education and experience.
- Has an acute understanding of FDA and NYS DOH regulations related to Third Party Reproduction or is willing to learn.
- Ability to work independently with minimal supervision.
- Candidate must have comprehensive knowledge of fertility medical terminology.
- Previous experience with direct patient contact/coordination/scheduling.
- Problem-solving and decision-making skills are needed.
- Effective communication skills, both interpersonal and written, are required.
- Ability to plan, organize, and coordinate the activities of others as necessary.
Preferred Qualifications
- Minimum of 2 years experience in healthcare, with program management experience.
- Experience working in a fertility center.
- Experience with third-party reproduction/donor egg/transplant.
- Experience with infectious disease screening, including compliance and regulation.
