Position Overview:
Working closely with the Associate Director, Events and Sales (AD) and the University Life Events team (UL Events), the Events Assistant for University Life Events (EA) supports the day-to-day events and sales functions for the Division of University Life. The EA works in collaboration with the AD and supports University Life Events by assisting with event logistics, submitting work order tickets, and compiling data for reporting purposes. The EA will help foster an engaging, inclusive, and welcoming campus environment at all events.
The Event Assistant will be paid $26.00/hour up to 20 hours per week throughout the academic year. The position will run from hire date through May 2026, with the possibility of extending into the summer and the following year. This is an in-person role. Possible evening and weekend hours may be required.
Responsibilities
Administrative Work - Assist with various office tasks that support the daily operations of the University Life Events team, including work order ticket entries for custodial and labor needs, updating spreadsheets or tracking documents, responding to emails, and supporting other behind-the-scenes logistics.
Event Support - Assist with staffing and supporting weddings, memorials and other events assigned by the AD. Some tasks may include helping with event set-up, breakdown, basic A/V support and transporting supplies and materials as needed.
Data Collection & Reporting - Track necessary event details such as cancellations, no-shows, flag missing/outstanding event details from event/space requests submitted to UL Events. Create reports to showcase impact and guide leadership towards making informative decisions.
Special Projects - As assigned and based on office needs.
Minimum Qualifications
Candidates must be in good academic and disciplinary standing with the University and agree to a disciplinary check.
Ideal candidates will have experience and interest in Events Management and Sales and are ready to join a fast-paced office environment.
Applicants must be currently enrolled graduate students in the New York area.
The Events Assistant will work on events-related projects on a rolling basis and we are looking for candidates that are flexible, creative, and have the ability to work both independently and in groups.
