The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to Section Chair at the College of Dental Medicine (CDM) with a dual reporting line to Chief of Staff, the Section Administrator will be responsible for the administrative management overall day-to-day operations in the Section of Growth & Development, Divisions of Orthodontics and Pediatric Dentistry. The Section Administrator will have oversight over the section’s administrative budget and will work collaboratively with the school’s central administrative teams.


Responsibilities

Operations 70%

  • Support the Section Chair with scheduling, travel, correspondence, and reports. Handle meeting minutes, newsletters, transcription and proofreading. Liaise with faculty, students, vendors and external contacts. Update website content and maintain personnel files.
  • Manage trouble shooting, maintenance issues, and space allocation assistance and planning for section.
  • Provide administrative support to the Committee on Appointments and Promotions (CoAP), by distributing meeting schedules, completed nomination packets approved by CDMHR, finalizing meeting minutes, and submitting voting results to CDMHR.
  • Provide administrative support to postgraduate education programs, including meeting schedules, admissions process and reporting; assist with launching and running new educational programs, and oversee section activities related to PG programs accreditation. Will work closely with the PG Student and Curricular Affairs office.
  • Supervise section administrative staff, providing guidance, task assignment, and performance input in collaboration with the Section Chair.
  • Coordinate human resources functions including working with CDM HR on faculty and student appointments, annual faculty renewal letters, staff support, and provide orientation to new hires in section.
  • Work collaboratively with other CDM units including the Business Office, Clinic Operations, and the Grants Management Office
  • Perform other administrative and financial duties as needed.

Finance 30%

  • Oversee the financial and administrative management of the Section, including divisions, postgraduate programs and associated patient care activities within the Section. 
  • Manage revenue and expense budgets including non-sponsored accounts, central funds and gifts and endowments, in accordance with the CDM/CUMC/University policies. 
  • Manage purchasing and accounts payable functions for all non-sponsored activities within the Section. Reconcile accounts, perform financial analysis, prepare and present financial and managerial reports.
  • Provide supplemental support to the PIs and the Grants Management Office on Section research activities.

Minimum Qualifications

  • Requires a Bachelor's degree or equivalent in education and experience, plus four years of experience.  
  • Excellent oral/written communication, interpersonal, organization, problem solving and detail-oriented skills required.
  • Proficient in Microsoft 365 software, including Teams, OneNote, PowerPoint, Outlook, Excel, and Word. Excellent communication, organizational, problem-solving, and interpersonal skills."

Preferred Qualifications

  • Experience in education administration, research and compliance requirements in healthcare
  • Financial and administrative experience in an academic medical center of higher education
  • Must have strong computer skills including advanced knowledge of Excel with an emphasis on developing complex spreadsheets. 
  • Knowledge of Columbia University systems (Jaggaer, Rascal, Info-Ed, and ARC) is preferred.
  • Master's degree in business administration, healthcare administration or public administration is desirable.
