Position Summary

Reporting to the Director, Alumni Career Management, and working closely with the Experienced Professionals Career Management team the incumbent’s responsibilities vary throughout the year, providing administrative support for alumni and EMBA career management and other projects, as well as performing administrative and operational tasks of the day-to-day operations of the Experienced Professionals Career Management team.  The Program Administrator gives primary support to the career-related services and resources available to CBS alumni and current students.  Additionally, the Program Administrator provides year-round support to students, administrators and recruiters who interact with alumni and with EMBA students.


  • In consultation with Director, originates email and/or telephone communication with alumni and corporate representatives regarding recruiting and educational and networking events.  Tracks responses and follows up to ensure events are successful.  Coordinates with Operations and ITG and outside vendors to facilitate logistics of virtual and in-person events.  Creates events in various registration platforms and maintains accurate registration and sign-up details.  Market and promote programs to alumni and other participants. Prepare and distribute presentation & program materials including PowerPoint slides and related collateral. Track alumni participation in various programs and overall resource utilization statistics.
  • Attends at least three key signature events to liaise with alumni, EMBA students and with corporate representatives and ensure smooth starts.  Requires some overtime at various times throughout the year.
  • Responds to phone, email and walk-in inquiries from students, recruiters, alumni and other external companies.
  • Enters data and proofreads all information entered to CMC platforms including COIN, CampusGroups, MyCBS and others as needed. Updates and maintains Athena database to document alumni meetings with career management.  Assists with organizing room reservations and other logistics for various on-line and live alumni recruiting, networking and educational events. 
  • Acts as administrative liaison to Alumni Relations staff team when needed, and to external software vendors and provides support to students, administrators, alumni and recruiters in use of COIN recruiting software.
  • Provides administrative and organizational support to the Director, Experienced Professionals Career Management; compiles materials and reports for ongoing relationship meetings.
  • During October-November and January-March interview seasons participates in early morning or evening recruiter reception
  • Assist with maintenance of Alumni Career website pages, including upload and/or revisions of information and career content materials.  Assist in modifying content as needed from EMBA site to make relevant to alumni site. 
  • Performs related duties and special projects as assigned.

  • Minimum Qualifications

    High School diploma or its equivalent required.  Minimum of three years related experience, or the equivalent combination of education and experience required.  Some college or college degree preferred. 

    Excellent organizational skills and an ability to work simultaneously with changing priorities and on multiple projects.  Excellent office skills including strong knowledge of Microsoft Word, Excel and PowerPoint, and solid experience with tables, importing and exporting files, and preparing presentation quality reports.  Detail orientation is crucial. Outstanding oral and written communication skills.  Professional demeanor essential.  Must show work experience or proven interpersonal ability in a client-service and team-oriented environment.  Some overtime required including early mornings, late evenings and select weekends with advance notice.

    Preferred Qualifications

    Familiarity with databases a plus.  Ability to learn new software quickly without formal training valued.
