Position Summary
The Practice Lead will be able to prioritize and organize daily work responsibilities based on practice and provider needs while maintaining service excellence standards and excellent communication skills. This position will provide administrative oversight to the scheduling department, central registration, and medical records in the outpatient practices at all Columbia Neurology locations. The Ability to cover the positions you supervise is of utmost importance.
Responsibilities
Supervising of a variety of employees who are primarily engaged in scheduling, registration, cash collection, billing related tasks, coordination and scheduling of future visits to Neurology practices and to other health providers, including scheduling tests and procedures, phone management, scanning of medical records, data entry in electronic health record and EPIC. Manage the department chief’s academic calendar and clinical schedule. Other delegated duties as needed.
Service Excellence and Communication skills:
Excellent interpersonal skills. Demonstrates courtesy and respect in all interactions with patients, providers and with all team members. Asks questions and seeks solutions. Use email and EPIC to communicate with Neurology administrative and clinical team. Can troubleshoot and provide direction to staff regarding communication and follow up issues. Ability to work independently and as a team member. Conforms to all applicable HIPAA, Billing compliance and safety guidelines.
Oversight and management of scheduling and registration:
Ensures that staff answer calls promptly and that they assist patients requesting appointments with the practice to ensure access to providers. Manages the providers' master schedules in support of business plan. Trouble shoots when necessary to ensure proper patient flow. Provides guidance and assists with referral management to other providers as necessary. Adheres to all standards for protecting personal identifying information obtained from patients and monitors staff to ensure that staff follow all protocols to protect patient privacy.
Cash collection and billing:
Oversee staff who are responsible for copayment collections, coinsurance, past due balances from patient, etc. Ensures accurate documentation of all transactions. Assist practice manager to ensure that billing procedures meets compliance standards.
Electronic health record (EPIC):
Requests and organizes all previous medical records for the physicians review. Maintains confidentiality of all health information obtained from patient. Understands and is compliant with all HIPPA requirements. Manage medical records requests and ensures that staff provide medical record requests in compliance with all applicable regulations.
Minimum Qualifications
Requires a Bachelor's degree or equivalent in education and experience, plus two (2) years of related experience.
Preferred Qualifications
Prior experience managing and supervising support staff in a clinical academic environment is preferred. Bilingual Spanish and English is desirable. EPIC experience preferred.
