Position Summary

Reporting to the Senior Executive Director of Patient Facilitated Services and Stewardship, in the Office of Development in the Vagelos College of Physicians and Surgeons (VP&S), Columbia University Irving Medical Center (CUIMC), the PFS Patient and Operations Coordinator will provide administrative support to the Patient Facilitated Services (PFS) team.

The PFS Patient and Operations Coordinator will be responsible for answering the phones, responding to emails, scheduling meetings, providing administrative support, calendar management, reports/schedules management, meeting with patients, patient registration and scheduling of patient appointments. 

The incumbent will also function as a liaison between key internal and external constituents including patients, donors, healthcare professionals, University and Medical Center leadership, administrative and clinical office staff and will be responsible for performing other related duties and special projects as assigned.


Responsibilities

  • Answering telephone calls, coordinating transportation needs, assisting with scheduling patient appointments, providing escort services and other daily tasks specific to the needs of the PFS team. – 20%
  • In coordination with the OAD Operations’ team, serves as the liaison between CUIMC IT, Telecom, Facilities, and other Columbia service groups to process requests and meet the operational needs of staff; manages projects from start to completion. – 10%
  • Manages the Senior Executive Director’s calendar including scheduling and confirming meetings, coordinating committee meetings and conferences; handing travel arrangements for the PFS team, helping to develop itineraries and agendas; and coordinating meetings. – 10%
  • Provides proactive support to accommodate the care needs that are specific and unique to PFS patients and their families through a rotational on call schedule that requires responsiveness on a 24/7 basis (one weekend per month). – 10%
  • Maintains and prepares monthly/quarterly/annual usage and activity reports. Ensures all patients receive personalized follow-up letters and continuously updates the Senior Executive Director and PFS team of ongoing patient activity. – 10%
  • Acts as the primary liaison between the PFS Office and its external vendors. Preparing and reconciling invoices for the Senior Executive Director’s review and approval based on programmatic needs. – 10%
  • Assists the PFS team with the creation/development of materials that can be used in care packets provided to patients by the team. – 10%
  • Facilitates communication between patients, family members, medical and administrative staffs, and other healthcare providers. Gathers and manages medical records in accordance with HIPAA guidelines; explains policies, procedures, or services to patients using medical or administrative knowledge and informs patients on CUIMC/ColumbiaDoctors’ polices. – 10%
  • Assist with other tasks and related duties and special projects as assigned based on programmatic needs. – 10%

Minimum Qualifications

  • Requires a bachelor’s degree or equivalent in education and experience, plus two years of related experience.


Preferred Qualifications

  • Previous work experience in a healthcare setting
  • Proficiency in EPIC (preferred)
  • Advanced experience with Microsoft Office software
  • Proficiency with PCs, and Windows software
  • Strong aptitude in technological literacy

  • Role requires working on-call, remotely, one weekend/month, and beyond traditional hours as needed.
