The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Reporting to the Directors and Managers of Human Resources and Faculty Affairs and working closely with Sr. Generalists/Generalists, the HR & FA Casual provides administrative support to the Basic Science Pod during peak volume. This role primarily supports multiple departments, hosting summer student programs, and helps provide vacation coverage for the team. The incumbent will also assist with the increased processing volume of Short-Term Visitors (STVs), Visiting Student Interns (VSIs), and high-volume fiscal year appointment/reappointment activities.
Responsibilities
- Summer program support (multi-department):
- Provide administrative HR/FA support to departments running summer student programs, including coordinating intake documentation, tracking status, and responding to routine inquiries.
- Assist with on-boarding logistics and ensuring required steps are completed on time.
- Short-Term Visitors (STVs) & Visiting Student Interns (VSIs):
- Assist with high-volume processing of STVs and VSIs (e.g., collecting forms, creating/maintaining tracking logs, routing for approvals, and preparing files for processing). Support timely communication with visitors, Principal Investigators (PIs) and Department Administrators (DAs).
- Visitor/immigration coordination (as applicable):
- Assist with J-1 visitor visa processing in collaboration with International Students and Scholars Office (ISSO) by gathering documentation, monitoring checklist completion, and supporting follow-ups.
- Compliance and on-boarding requirements:
- Help ensure required compliance steps are completed (e.g., Medical Surveillance, research/lab training, other required acknowledgements) by tracking completion and flagging delays for follow-up.
- Appointments and reappointments (peak cycle support):
- Assist with appointments and reappointments during high fiscal-year volume, including preparing appointment packets, submitting and tracking progress of submitted transactions.
- Assist with student-related appointments (e.g., Graduate Research Assistants, Teaching Assistants, Short-Term Student Casuals) as assigned.
- Vacation coverage / generalist support:
- Assist with team coverage for Sr. HR/FA Generalists/Generalists during summer vacations by helping with routine tasks and follow-ups.
- Other administrative tasks:
- Perform additional HR/FA administrative duties as assigned to support peak-period operations.
Minimum Qualifications
- High school graduate or current undergraduate student
Preferred Qualifications
- Undergraduate student enrolled in a Bachelor’s program related to Human Resources, Business Administration, or a similar field
- Prior administrative experience (office, customer service, or academic program support) is an asset
- Strong written and verbal communication skills
- Ability to manage multiple tasks, prioritize deadlines, and work effectively in a fast-paced, high-volume environment
- Attention to detail and ability to handle confidential information appropriately
