Position Summary

Under the supervision of the Associate Director for Intake and Registration, the Intake and Registration Specialist will manage and participate in all aspects of Disability Services centralized intake process in support of students seeking disability services and accommodations. The incumbent will conduct comprehensive, individualized intake assessments, and manage a caseload of students who are in the process of registering or require intake interviews. The Intake and Registration Specialist will request and review documentation provided by students and outside entities and ensures that the intake workflow is integrated in case conceptualization and other support services across Disability Services. In consultation with the Associate Director, this position continually monitors the intake and registration process and makes changes to protocols to enhance workflow.

This is an essential onsite role that requires occasional weekend and late evening hours during times of peak operational volume.  Some hybrid work options may be considered.

Responsibilities

Intake and Registration (80%)

• Conducts individualized intake assessments and interviews with prospective, new, and currently enrolled students requesting accommodations with Disability Services; thoroughly screens and evaluates all requests for Disability Services registration, accommodations, and assistance.
• Guides prospective, new, and currently enrolled students through the Disability Services intake and registration processes and engages in ongoing communication with students regarding policies and procedures for requesting accommodations; escalates concerns related to barriers in securing required disability documentation.
• Thoroughly documents intake assessments and uploads all disability documentation and intake related documents to the database system.
• Triage student cases, prioritizes various complex and urgent disability-related needs, and appropriately escalates acute issues to the Associate Director and other senior management.  
• In consultation with the Associate Director reviews and interprets complex evaluations and disability documentation to determine eligibility, needs for services, and associated accommodations to ensure equal access.
• Under the supervision of the Associate Director reviews disability documentation for accuracy, completeness and compliance in relation to disability documentation guidelines; manages student’s information with strict adherence to the protection and confidentiality of all student records and in accordance with the Family Educational Rights and Privacy Act (FERPA).
• Manage a caseload of students who are in the process of registering or require intake interviews; provides orientation, referral, educational planning, and support services.   
• Provides information to prospective students and their parents/families regarding services, university resources, transition questions and concerns, documentation guidelines, and the process for determining reasonable accommodations.
• Manages incoming inquiries from referring offices and students seeking accommodations or information regarding the intake and registration process; prioritizes inquiries to ensure guidance is provided in a timely manner.
• Maintain ongoing tracking and follow-up of student cases to facilitate and expedite student completion of intake and registration process.

Administration (15%)

• Performs outreach to students, faculty, and staff and represents Disability Services at orientation and other events.
• Collaborates with the Associate Director to develop, implement, update and evaluate intake protocol and workflow processes.
• Participates in cross-functional meetings such as case management and Quality Management initiatives.
• Assists with exam accommodations during peak operational volume.
• Maintains professional expertise in matters pertaining to federal and state regulations and policies affecting persons with disabilities, including Family Educational Rights and Privacy Act (FERPA), Section 504 of the Rehabilitation Act, and the American with Disabilities Act, including ADA standards and regulations.

Performs other responsibilities as assigned (5%)

Minimum Qualifications

• Bachelor’s degree in Counselor Education, Rehabilitation Counseling, Special Education or closely related field.
• Requires a minimum of two years related experience.
• Knowledge and understanding of federal, state, and city disability compliance, policies and laws relating to ADA and Section 504 and their relationship to higher education.
• Exceptional written and verbal communication skills.
• Highly organized with critical thinking skills and ability to work in a fast-paced environment where urgent situations often arise.
• Ability to successfully negotiate complex systems and work in a decentralized academic environment.
• Ability to take initiative, use critical thinking, and exercise astute judgment and in handling situations not covered by verbal or written instructions.
• Demonstrated sensitivity to, and understanding of, working with students of diverse backgrounds, academic performance, and disabilities; experience with both traditional and non-traditional students.
• Ability to work with confidential, highly sensitive information.
• Must be able to handle a high-volume workload, manage concurrent demands and multiple stakeholders and work as part of a team.
• Strong computer skills.
