The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to the Executive Director of Human Resources; The Human Resources Employment Officer will liaison with hiring managers while providing guidance to ensure the entire talent acquisition process adheres to established guidelines and employment laws.  This position handles a high volume of related recruitment activities, staffing transactions, and candidate management while ensuring deadlines are met. . Responsibilities will include, but are not limited to: coordinating the hiring process from the point of onboarding of the new employee; The Officer will assist with competitive total rewards strategies designed to attract, retain and support new and existing talent.  This role will process the school’s worker’s Compensation claims and reports and coordinate Family Medical Leave and related leaves processes including Short Term Disability, ADA Accommodations, Parental Leave, and related leaves. This role will assist HR processes and initiate transactions employee payroll-related transactions/changes in accordance with University policies while also supporting other employment functions in the school.


Responsibilities

  • (35%)Talent Acquisition:

    Works closely with hiring managers to understand staffing needs, then assists end-to-end with, recruitment strategies, search committee support, candidate management, and the hiring process. Coordinating job postings via the applicant tracking system, assisting applicants, assisting in the creation or revision of job descriptions, completing hiring proposals with compensation recommendations, arranging background checks, and preparing offer letters, reports, and other related recruiting documents. Monitors postings, applicants, and search committee activity and drives the goal of attaining the best candidates for a variety of vacant positions, while decreasing the time to fill windows. Process all requests for background checks and monitor results alerting the Executive Director of Human Resources when discrepancies need to be reviewed. Represent the university at job fairs, career days, campus visitations, and community outreach activities. Assists with the maintenance of approved salary, title changes, and job descriptions. Assist with recruitment and screen resumes for all job openings to determine that applicants meet the minimum job qualifications as posted. Assists with processing all terminations and conducting exit interviews. Maintains turnover statistics.

  • (30%) Benefits Leave Coordination:

    Processes the school’s worker’s Compensation claims and reports. Coordinates Family Medical Leave and related leaves process including, Short Term Disability, ADA Accommodations, Parental Leave, Paid Time Off, etc. including evaluating requests,  coordinating with the office of leave management in determining eligibility, ensuring appropriate paperwork is completed, responding to leave of absence-related inquiries, and escalating correspondence when necessary. Initiates and monitors the completion of absence requests and required documentation. Maintains reasonable communication with employees on leave to facilitate a smooth and timely return to work; relays communication between employees and their managers during leave within reason. Performs verification of employment and unemployment for appropriate agencies. Coordinating with the HR processing center on exit interviews,  new employees, resignations and terminations. 

  • (15%) Training Development and Compliance:

     Ensures compliance with the I-9 and E-Verify federal requirements, processes, and procedures. Support maintenance administration personnel files. Ensure all Labor Law posters are ordered and up-to-date out-of-state labor law posters. Maintain appropriate files (paper and/or electronic) for correspondence, reports, personnel records, confidential files, and other human resource documents. Ensure that record-keeping procedures follow applicable state and federal legislation, and forward appropriate documents to retention in a timely manner. Coordinates mandatory training compliance; produces audit reports for management by collecting and analyzing information to ensure accuracy. Maintains training manuals and assists in Human Resources training activities; may develop materials or conduct training sessions as needed/assigned. 

  • (10%) Rewards and Recognition:

    Assist with competitive total rewards strategies designed to attract, retain and support new and existing talent.  Assist with compensation and retention issues. Coordinate and support engagement programs, such as employee awards and recognition programs. Maintains knowledge of the latest trends in employee engagement and training & development to support their staffing needs. Assist with the development and engagement programs and initiatives to include leadership/supervisory development, compliance, DEI, skills training, recognition, and engagement for employees at all levels of the school. Coordinate training materials, which could include presentations, instructional videos, and/or written documentation and job aids, to meet specific training needs

  • (10%) Reporting:

    Collects data and analyzes it to improve HR strategies and processes, and suggests ways to increase the functional productivity and workflow of the HR department. Confirms accuracy and integrity of all data entered, maintains data in HRIS systems and databases and assures information is available on a timely basis. Performs other tasks, duties, and responsibilities as required.


Minimum Qualifications

  • Required: Bachelors degree and/or equivalent related experience required. 2-4 years of related experience required.

  • General knowledge of HR policies & procedures, specifically in the area of Employment; Ability to multi-task and adhere to deadlines;

  •  Proven ability to create, refine and implement best practices, process improvements and technology enabled process enhancements

  • Passion for customer service and impacting the candidate experience

  • Ability to understand business strategies and translate them into actionable and compelling talent initiatives; ability to collaborate and gain collective support for business objectives

  • Excellent oral and written communication and interpersonal skills are necessary. Must be able to manage highly sensitive and confidential communications with discretion and integrity.

  • Must be organized and detail and task-oriented with the ability to establish priorities and follow up on multiple issues in a time-sensitive manner. Possesses skills in employment interviewing techniques and applicant appraisal. Must be comfortable working under pressure with limited supervision and demonstrate sound independent judgment. Ability to exercise a high degree of professionalism, diplomacy, discretion, firmness, and collaboration in dealing with individuals at all levels.

  • Strong analytical and problem-solving skills necessary. Excellent computer skills, including thorough knowledge of Microsoft Office, Google Applications, including knowledge of applicant tracking systems, databases, and advanced spreadsheet skills required. Must be able to quickly acquire knowledge of University policies, procedures, and systems.

  • Knowledge of labor and employment law, organizational development, and best practices preferred.
