Position Summary

Reporting to the Director of Academic Affairs and Finance, the Grants Manager assists the Department of Biological Sciences in all aspects of the pre-award and post award processes for sponsored projects.


Pre-Award activities include but are not limited to:

  • Acts as liaison between PI’s and Sponsored Projects Administration (SPA).
  • Initiates projects in SPA’s internal reviewing program, RASCAL, as well as through the submission portals of various agencies (ASSIT for NIH, Fastlane/ for NSF, etc.).
  • Provides guidance on compliance matters related to sponsored projects and review submission documents for compliance with Columbia policies and those of the sponsor.
  • Provides guidance on compliance matters as they relate to proposals for submission.
  • Assists PIs with Biosketch and Other Support and JIT submissions.
  • Coordinates with the department’s Writer-in-Residence to ensure that faculty, postdocs and graduate students can get editorial assistance on proposals before submission.

Post-Award activities include but not limited to:

  • Sets up awards and budgets.
  • Works with PI on payroll allocation, and update them as needed.
  • Prepares various financial reports including spending projection for PIs and regularly analyzes and oversees expenses and reviews them with PIs and Director.
  • Processes cost transfers when needed.
  • Assists with quarterly/annual budget submissions/updates.
  • Prepares monthly/quarterly grant attestations.
  • Monitors revenue receipts and timely billing.
  • Acts as a liaison with Sponsored Projects Finance (SPF) preparing financial reports to sponsors.
  • Works with central university purchasing to oversee the purchase of highly technical, scientific, laboratory and computer equipment that will be bought with sponsored funds.

Informs and apprises PI’s of policy changes from the university’s Purchasing Office related to the use of sponsored funds.

The Grants Manager maintains all pertinent records, files and documents and ensures completeness and accuracy consistent with external and internal compliance requirements.

Acts as the backup effort coordinator to the Director of Academic Affairs and Finance.

Performs other related duties as requested.

Minimum Qualifications

  • Bachelor's degree or its equivalent. Minimum of 2 years of related experience. 

Preferred Qualifications

  • Familiarity with Columbia systems such as RASCAL, ARC, and financial policies and guidelines

Other Requirements

  • Excellent organizational, interpersonal, and communication skills and the ability to perform multiple tasks. 2+ years of sponsored awards administration.
