Position Summary

Reporting to the Divisional Administrator, the Grants Financial Manager will be responsible for the oversight and management of all post award grant financial activities within the Division of Endocrinology and the Obesity Center in the Department of Medicine. They will manage all divisional grant account finances utilizing the University financial systems: ARC, PAC, FINSYS, ECERT, CONCUR and others to ensure grant financial management.


Responsibilities

  • Responsible for reconciling all grant financial transactions on a monthly basis.
  • Ensure grant expenses are allocated appropriately and in a timely fashion as per grant budgets, time periods, and allowable spending.
  • Generate reports for review with Divisional Administrator.
  • Prepare and review quarterly attestation reports for all Principal Investigators (PIs) to review and sign off on all grant financial expenditures.
  • Responsible for ensuring all grant projects are not over and under spent and partner with PI's to ensure financial targets are met.
  • Meet with Divisional Administrator to review grant financial status for all projects and assist in developing Fiscal Year budgets, rosters, and complete effort reporting.
  • Process vouchers, PO's, sub-award purchase orders, journal entries, internal funds transfers, and fund balance transfers related to grant projects.
  • Manage and maintain a divisional P-card, and handle all SPF related matters.
  • Responsible for calculating and collecting all Indirect Cost Shares.
  • Monitor and appropriately charge expenses to government grants, private grants, industry sponsored grants, tech venture grants, research gift accounts, research service core accounts, unrestricted research gift accounts and research scope accounts.
  • Manage and maintain salary distributions on all grant projects, monitor and immediately clear salary suspension on grant projects, monitor and clear project overruns and ensure effort is being charged appropriately throughout all research projects.
  • Track key award trigger dates for successful financial management.
  • Assist DA, Chief, and Financial Director with analysis, financial transactions, and reporting.
  • Collaborate with the Pre Award Grants Administrator and carry forward requests, project close outs, no cost extensions, and progress reports.
  • Assist in the tracking of IT inventory, ordering, telecom requests, and support day-to-day activities related to research financial management including space allocations.
  • Perform additional related duties as needed.

Minimum Qualifications

  • Bachelor's degree or equivalent in training, and/or experience plus three years related experience
  • Strong multi-tasking, critical thinking and excel skills
  • Ability to organize and prioritize independently based on competing timelines

Preferred Qualifications

  • Knowledge of Columbia University Systems
  • Experience with managing federal and private grants, as well as clinical trials in an academic healthcare environment

Other Requirements

  • Successful completion of applicable compliance and systems training requirements
