Position Summary

The Office for Research in the Vagelos College of Physicians and Surgeons is seeking a Grants Coordinator to join the Post-Award Team. Under the supervision of an Associate Director of Post-Award Finance, the Grants Coordinator will provide support for grant related post-award administrative activities in the Basic Science Departments and other participating departments at VP&S. The main responsibilities will include supporting the post-award team in financial management of sponsored accounts. The successful candidate will be responsible for ensuring compliance with Federal, sponsor and institutional regulations such as attestations, effort certifications, salary allocations, cost transfer requirements, etc.


  • Responsibilities include, but are not limited, to the following:

    • Together with the senior team member, maintains a small suite of PI Portfolio reports and meet monthly with each PI to review the PI’s funding, including grant, contract, gift, endowment, and other types of restricted and unrestricted funding;
    • Processes attestations and subaward invoices; including retrieval, dissemination, follow-up and tracking of completed forms;
    • Supports grants finance analysts/managers as needed, including processing cost transfers (CT) and preparing account setups;
    • Trains under the direction of the Associate Director and other senior staff to continuously develop and maintain a strong working knowledge of federal rules and regulations that govern research grants;
    • Distributes suspense reports to the team on a timely basis for processing;
    • Disseminates quarterly list of CTs submitted by the team and conduct internal review of documents to ensure all required backup is on file;
    • Maintains records in accordance with internal procedures, demonstrating compliance with sponsor and sponsor agreements, and University regulations concerning project expenditures, equipment, and other fiscal concerns;
    • Other tasks as assigned.

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience plus 2 years of related experience required.

Preferred Qualifications

  • Knowledge of sponsors and sponsor requirements

  • Familiarity with Columbia Systems 

Other Requirements

  • Must be proficient in Microsoft Office, especially Excel
  • Demonstrated customer service focus with the ability to interact and collaborate with multiple constituencies as well as capacity to work with a high degree of independence and successfully within a deadline driven, multi-tasking operating environment.
  • The individual must possess strong critical thinking and excel skills and be able to organize and prioritize independently based on competing timelines.
