Position Summary
Reporting to the Associate Director of Graduate Admission Operations, the Graduate Admissions Operations Manager at The Fu Foundation School of Engineering and Applied Science manages the development, implementation, and assessment of operational processes to achieve the goals of the School for processing graduate applications, rendering admissions decisions, supporting enrollment targets, and completing all post-admission requirements, including the management of official document processing. The Graduate Admissions Operations Manager establishes, maintains, evaluates, and revises best practices in the execution of operational processes for graduate admission and enrollment
Responsibilities
(45%) Enrollment Operations: Lead and execute projects related to the post-admission and onboarding process for new, incoming students to Columbia Engineering. This includes the collection and verification of official documents, determining the final status of incoming students, and verifying application materials. Responsibilities include administering registration holds and communicating with incoming students accordingly, the removal of holds and updating student records, and maintaining accurate student records in compliance with University requirements. Collaborate with Graduate Student Affairs to review students for Graduation Clearances, and maintain communication with enrolled students to ensure all students have met the official document requirements and post-admit verification requirements necessary.
(35%) Admissions Operations: Through the Technolutions Slate application system, manage the lifecycle of an application throughout the admissions process for graduate applicants to SEAS. Manages procedures and the workflow of graduate admission applications. Work with Engineering faculty to determine admission criteria, review applicants, sort applications, and provide recommendations to Faculty. Read and evaluate admission applications from assigned disciplines. Implement the graduate application reader review process between admissions and external offices/departments, including reviewing graduate applications for admission decisions, assigning and distributing files for review, including making admissions decisions and recommendations. Act as a collaborative member of the Graduate Admissions team, participating in all Admissions activities when needed – such as recruitment and yield events, open house, and more.
(15%) Data Reporting and Analysis: Responsible for providing data analysis for enrollment management, assuming primary responsibility for data analysis, including data cleaning, data management, and statistical analysis tasks, identifying and solving integrity data issues, and tracking, organizing, and maintaining data and metrics. Oversee the process of identifying, build, and manage audit queries to reconcile student records throughout the applicant life cycle and ensure accuracy and consistency of data across various systems. Work with both internal and external stakeholders to review data and application imports and exports into third-party sources, such as SIS, On-Base, and other systems integral to the student life cycle. Analyze data and manage historical data for use by School leadership and other offices/departments.
(5%) Performs related duties & responsibilities as assigned/requested on behalf of the University, the School, and the Office of Graduate Admissions, including but not limited to orientation, graduation, admissions events and other programming and events.
Minimum Qualifications
Education:
Bachelor’s Degree
Experience:
Minimum 2-4 years of related experience required.
Experience with Slate Technolutions is strongly preferred.
Data Analytics experience in web-based student information systems or event registration systems.
Work independently. An understanding of innovative uses of technology in admissions workflow and financial management processes.
Experience in evaluating applications, including academic performance, prerequisite coursework, and application essays. Experience in admissions and recruitment for higher education.
Experience demonstrating a progression of dealing with increasingly complex systems.
Experience with relational databases and a basic understanding of Slate CRM system. Strong background and proven record in execution and problem-solving
Demonstrate both excellent working relationships and strong communication skills.
Able to troubleshoot complex issues independently to determine root cause while maintaining detailed documentation of the progress through completion.
Able to build relationships, elicit and understand customer needs, analyze, understand, and document business processes
Able to think both tactically and strategically.
Able to function with autonomy, making sound and timely decisions as appropriate, and using good judgement to determine which decisions should be escalated.
