Position Summary

Under the direction of the Executive Director of Finance and Operations, the Financial Coordinator is responsible for various projects within the Dean’s Office that are focused on Finance processes and procedures. The Financial Coordinator will also assist in the training and support of the Academic departments and centers. The incumbent will present results from reports, analysis, and/or new policy and procedural change of financial reporting tools and management reports using best practice applications, tools and processes. In addition, he/she will develop ad hoc financial reports for management decision making at the department and school level. This position will involve advanced use of MS Excel including creation of pivot tables and use of formulas (i.e. VLOOKUP) to create reports and analyze variances on a variety of data sets.


  • (50%) Financial Analysis and Reporting: Under minimal supervision, provides reconciliation of ARC statements on departmental accounts against internal ledgers; prepares financial reports and other data analyses; assists in the identification and analysis of budget variances and discrepancies as they relate to sponsored and non-sponsored projects; promotes adherence to University and School expenditure policies. Provides guidance and counsel on process/policy/procedure to department managers and staff, often answering complex questions; Use of excel, including creation of pivot tables and formulas (i.e. VLOOKUP), will be a must for creating reports and analyzing variances on a variety of data sets which will include, but are not limited to, start-up funds, department commitments, Dean’s subsidies, and sponsored projects.


  • (25%)Financial Operations: Suggests and makes changes to processes to resolve erroneous transactions. Researches and liaises with vendors, Sponsored Project Administration, and Sponsored Projects Finance to resolve procurement issues identified by the Department through monthly report reconciliation and maintenance. Produces and analyzes ad hoc financial reports for management decision making at the department and school level. Will present these analyses in front of key stakeholders on an ad-hoc basis. Reviews and analyzes payroll salary distribution and cost transfers.


  • (20%)Departmental Liaison: The incumbent will assist the departments in streamlining all processes related to procurement, financial reconciliation, sponsored and non-sponsored projects, budget variances, salary distribution, cost transfers, etc. The Financial Coordinator will facilitate training in order to educate and advise DFAs/DAs on efficient processes and promote adherence to University and School expenditure policies


  • (5%) Performs other tasks, duties, and responsibilities as assigned. 

Minimum Qualifications

  • Bachelor’s degree and/or its equivalent required, or an equivalent combination of education and experience.
  • At least 2 years of experience in financial support strongly preferred. Must be knowledgeable about general financial and accounting practices including GAAP; Communicates upward (school level senior leadership) clearly and effectively; familiarity with Columbia University financial policies and systems is strongly preferred.
  • Must be able to quickly learn university electronic processing systems for purchasing and A/P, or have prior knowledge and experience with ARC. Must have strong attention to detail, organizational skills, and communication skills.
  • Must have strong proficiency with data management and analysis in Microsoft Excel, and proficiency with other MS Office products such as Word and Access.
  • Positive, forward-thinking, mission-oriented attitude and sense of humor a must.
