Position Summary
Reporting to the Director of Academic Administration and Finance (DAAF), the incumbent provides financial support and other support services for the Sociology department.
Responsibilities
Assisting in the day-to-day financial activity of the Department of Sociology, the Financial Assistant processes financial and payroll transactions via the University's ARC and PAC processing systems; processes Work-Study and casual payrolls and additional compensation for faculty and graduate students; acts as liaison with Service Now, ARC ticketing system to resolve problems for vendors and payees, including faculty, students, staff and visitors; reconciles P-card purchases; monitors the status of vendor creation requests, purchase requisitions, and invoices in ARC and corresponds verbally and in writing with Service Now ticketing system on problem invoices, creation of vendors, voided checks and related matters; and maintains the Department's financial records and electronic and filing systems.
Works closely with the Financial Coordinator and DAAF to ensure compliance with university policies and regulations; assists in processing academic appointments ensuring I-9 and NYS DOL 195 accuracy and compliances. Assists in the preparation of financial reports and transactions for Offices of Sponsored Projects Administration (SPA) and Finance (SPF) and Restricted Funds as needed. Assists Financial coordinator monthly reconciliation of projects; assists in annual fiscal closing; and researches and resolves problems with open commitments and overdrafts. Assists in monitoring budgets and maintaining financial reports for faculty grants and research accounts, faculty searches, student organizations and travel grant budgets.
Assists faculty with administrative tasks and keeping their calendars. Acts as backup to the Administrative Assistant.
Performs other administrative duties as assigned.
Minimum Qualifications
High School diploma or its equivalent required. Two years of related experience required.
Preferred Qualification
Some college preferred. Proficiency or ability to acquire proficiency with content-management University systems: ARC, Concur, FDS, PAC and FFE.
