Position Summary

The incumbent will be responsible for coordinating all of the day-to-day activities related to procurement and accounts payable functions for the Department of Ophthalmology.


Responsibilities

  • Coordinate day-to-day activities related to procurement and accounts payable and ensure compliance with internal and external policies and procedures.
  • Create check requests to support accounts payable activities for the department such as honorariums, awards, visa renewals, and other related payments.
  • Responsible for submission of vendor ID requests in the purchasing system and follow-up of completion.
  • Review of Travel and Business Expense reimbursements.
  • Initiate purchasing and lease transactions, and change orders as needed.
  • Order general supplies and minor equipment for the different units within the department.
  • Identifies and troubleshoots processing delays and provides proactive status update regarding pending transactions.
  • Maintain comprehensive financial files.    
  • Serves as subject matter expert for all Purchasing and Accounts Payable inquiries.
  • Offer assistance to faculty and staff regarding accounts payable and purchasing policies.
  • Process journal vouchers/entries as needed.
  • Assist with monthly, quarterly, and year-end closings.
  • Performs other duties as assigned.

Minimum Qualifications

  • Bachelor's degree or equivalent in education, training and experience, plus two years of related experience.  

Preferred Qualifications

  • Strong proficiency in Microsoft Office (Word & Excel).
  • Bright, competent, organized individual, and self-motivated.
  • Ability to multitask in a fast-paced environment.
  • Ability to maintain confidentiality of tasks.
  • Familiarity with Columbia University Financial systems is a plus.
