Position Summary
The incumbent will be responsible for coordinating all of the day-to-day activities related to procurement and accounts payable functions for the Department of Ophthalmology.
Responsibilities
- Coordinate day-to-day activities related to procurement and accounts payable and ensure compliance with internal and external policies and procedures.
- Create check requests to support accounts payable activities for the department such as honorariums, awards, visa renewals, and other related payments.
- Responsible for submission of vendor ID requests in the purchasing system and follow-up of completion.
- Review of Travel and Business Expense reimbursements.
- Initiate purchasing and lease transactions, and change orders as needed.
- Order general supplies and minor equipment for the different units within the department.
- Identifies and troubleshoots processing delays and provides proactive status update regarding pending transactions.
- Maintain comprehensive financial files.
- Serves as subject matter expert for all Purchasing and Accounts Payable inquiries.
- Offer assistance to faculty and staff regarding accounts payable and purchasing policies.
- Process journal vouchers/entries as needed.
- Assist with monthly, quarterly, and year-end closings.
- Performs other duties as assigned.
Minimum Qualifications
- Bachelor's degree or equivalent in education, training and experience, plus two years of related experience.
Preferred Qualifications
- Strong proficiency in Microsoft Office (Word & Excel).
- Bright, competent, organized individual, and self-motivated.
- Ability to multitask in a fast-paced environment.
- Ability to maintain confidentiality of tasks.
- Familiarity with Columbia University Financial systems is a plus.
