Position Summary

Leading a team of 18, the Executive Director is responsible for the strategic direction and vision for the University’s Accounts Payable functions, including audit and review, University Cards and wire transfers.    


Operations & Compliance

  • Manage the voucher audit and review team, ensuring customer service levels are met and incidents are resolved in a timely, compliant and an efficient transaction processing manner
  • Identify opportunities to improve service, compliance and total cost of transactions
  • Manage the annual disbursement process
  • Reviews data to address exception issues in Accounts Payable processing and stay current with compliance issues in order to keep the University current with its evolving regulatory environment
  • Partner with the Executive Director, Tax to provide support for University's tax compliance as it relates to Accounts Payable transactions and reporting. 
  • Maintain vendor and transaction information in order to provide appropriate reporting to vendors, faculty, staff and students; accurately manage any required withholding; and provide timely and accurate reporting to the IRS and other government agencies, including the issuing and reporting of 1099s
  • Works closely with the Vice President and other senior management within the Procurement Office to identify, test, implement and benchmark measures that increase efficiency and service quality to drive continuous improvement throughout the department
  • Lead and guide the University Cards Program, including the growth of the programs, key performance metrics and compliance with University policy and procedures, as well as applicable regulations

System Management

  • Manage and oversee the systems that support Accounts Payable transactions reflect accepted and best practices with regard to Accounts Payable processes
  • Determine the priorities for system enhancements to existing systems and key design decisions for new systems; review system related procedures, both within the Accounts Payable department and for users across the University, to promote accepted and best practices
  • Conduct reviews of data contained in the various Accounts Payable systems for accuracy and completeness, and oversee data collection confirmation and clear up, as necessary


  • Leads the training, development and communication agenda to promote proficiency across the University with regard to Accounts Payable transactions and compliance.
  • Determine the training, communication and feedback for the Accounts Payable staff in order for them to develop their effectiveness and efficiency

In addition, the Executive Director will work on a series of University-wide initiatives that will call for regular collaboration with colleagues within Procurement Services, the Finance Division, and other administrative units and schools across the University.  Performs other related duties and special projects, as assigned. 

Minimum Qualifications

  • Bachelor’s degree required, plus at least eight years related experience working in a finance or accounting role, including significant managerial and accounts payable experience, required

Preferred Qualifications

  • Advanced degree (i.e. MBA) or other professional certification (i.e. CPA) preferred
  • Experience with PeopleSoft preferred

Other Requirements

  • Formal training and/or work experience in managing a tax compliance program, ideally in an accounts payable context, required  
  • Experience in conducting audits, managing systematic reviews and implementing controls required
  • Proficiency in Microsoft Office (Word, Excel) required
  • Must be detail-oriented with strong problem-solving and analytical skills, and possess exceptional project management and financial skills
  • Excellent interpersonal, oral and written communication skills, including active listening skills, plus the ability to work closely and effectively with a diverse group of University administrators, characterized by strong consensus building and relationship building skills, essential
  • Must be able to negotiate issues, make decisions and resolve problems
  • In addition, the successful candidate must be able to work well with all levels of management, both internally and externally, be flexible in nature, have sound judgment with an open and collaborative style of leadership that encourages teamwork and cooperation beyond the immediate team to the broader organization, and a strong role model, manager and coach
  • Must have a passion for excellent customer service and commitment to exceptional quality
