Position Summary

The Executive Assistant for the CUIMC Chief Financial Officer will provide discreet and confidential executive administrative assistance to the CFO, interacting with executive and office staff and providing information to all levels of university administrators as appropriate.


Responsibilities

  • Manage busy schedule and calendar for the CFO
  • Screen and monitor calls, field questions, and/or forward them to the appropriate person
  • Develop and maintain paper and electronic filing system into readily retrievable formats
  • Arrange travel and related logistics for the CFO, and prepare expense reports with appropriate and timely follow-up
  • Serve as liaison between the Office of the CFO, its reporting units and other University offices
  • Create and compile meeting materials, agendas, and PowerPoint presentations
  • Attend meetings when requested, take notes, prepare minutes with follow-up on tasks with meeting participants consistently and with attention to detail
  • Distribute materials as appropriate with mindfulness of confidential/sensitive information
  • Screen documents and agreements sent to CFO for review/signature, to ensure compliance, accuracy, and appropriate preliminary approvals
  • Review incoming correspondence and respond or refer as appropriate
  • Distribute agenda items one day prior to each meeting hosted by CFO
  • Create lists of committee members/meeting attendees to track participants for all meetings hosted by CFO
  • Send out email reminders for all meetings hosted by CFO at least one day prior to each meeting
  • Provide any necessary cross-coverage support for the executive suite when required
  • Other assigned projects and duties as needed

Minimum Qualifications

  • Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience.
  • Experience in an institution of higher education or other large, complex organization and/or a communications/public relations department is required.
  • Excellent verbal and written communications skills required.
  • Strong interpersonal skills and the ability to handle confidential information with exceptional judgment and discretion required.

Other Requirements

  • Candidate must demonstrate ability to set priorities, handle multiple assignments, and work with diplomacy and efficiency in a highly pressured environment.
  • Outstanding organizational ability, as well as the ability to manage deadlines and relate to all levels of personnel.
  • Must be detail-oriented with excellent word processing skills.
  • Strong computer skills in Microsoft Word, Excel, PowerPoint, Outlook and email/internet research required.
  • Must have flexibility to work extended hours when required.
